Inspiration

Hydropower plants generate clean and reliable electricity, but their operation and maintenance information is often scattered across paper records, spreadsheets, emails, and separate computers. This makes it difficult to track equipment history, plan maintenance, locate technical documents, and make timely decisions. We were inspired to create one centralized platform that improves maintenance efficiency, document control, equipment reliability, and institutional knowledge.

What it does

The system combines hydropower plant O&M management and document management in one platform. It enables users to:

Register plant assets and equipment. Create, assign, prioritize, and track work orders. Schedule preventive and corrective maintenance. Record inspections, faults, outages, and shift activities. Monitor spare parts and maintenance materials. Store drawings, manuals, procedures, reports, and certificates. Control document versions, categories, approvals, and access. View maintenance history, KPIs, dashboards, and reports. Search technical information quickly using equipment tags and document metadata.

How we built it

We designed the platform as a modular web-based management system. The user interface provides dashboards, digital forms, searchable tables, alerts, and reports. A centralized database connects equipment records, maintenance activities, work orders, spare parts, users, and technical documents. Role-based access separates the responsibilities of administrators, managers, engineers, technicians, operators, and document controllers.

Challenges we ran into

The main challenge was converting complex hydropower plant workflows into a simple digital system. We also had to consider inconsistent historical records, document-version control, equipment identification, restricted network connectivity, cybersecurity, user permissions, data backup, and the need for the system to work with different plant departments.

Accomplishments that we're proud of

We are proud to have created a unified platform that connects maintenance activities directly to plant assets and their technical documents. The system improves traceability, reduces time spent searching for information, supports preventive maintenance, preserves equipment history, and provides management with clearer performance information for decision-making.

What we learned

We learned that successful maintenance digitalization requires more than software development. It requires a clear asset hierarchy, standardized workflows, reliable data, strong document-control procedures, user-friendly interfaces, and close collaboration with plant operators, technicians, engineers, and managers.

What's next for Hydropower Plant OM and Document Management System.

The next step is to pilot the system at a hydropower plant, collect user feedback, and improve its functionality. Future development will include mobile access, QR-code equipment identification, electronic approvals, automated notifications, advanced KPI dashboards, SCADA integration, condition-monitoring data, predictive-maintenance tools, secure cloud backup, and multi-plant management.
