Inspiration
Hostel issues are often handled through messages, calls, registers, or informal complaints, which makes it difficult to track what was reported, who is handling it, and whether it was actually resolved. We wanted to build a system that makes this process more structured while keeping the student experience simple.
HostelDesk was inspired by the idea of turning a simple complaint into a complete, trackable workflow instead of letting it get lost between students, wardens, and maintenance staff.
What it does
HostelDesk is an AI-powered hostel issue management platform. Students can report problems using text, photos, or voice. The system analyzes the report and helps structure details such as the issue category and urgency.
Wardens can review incoming issues, decide where they should be assigned, and track their progress through maintenance. Students can then verify whether the issue has actually been resolved.
The workflow is built around:
REPORT → UNDERSTAND → ROUTE → WORK → VERIFY → RESOLVE → LEARN
The system also keeps issue history and can help identify recurring problems, giving hostel management useful information beyond individual complaints.
How we built it
We designed HostelDesk as a role-based platform with separate experiences for students, wardens/admins, and maintenance staff. The backend is built with Java and Spring Boot, with a structured API-based architecture for handling users, institutes, issues, assignments, and workflow states.
The interface was designed specifically for an institutional environment rather than a generic AI dashboard. We focused on clear navigation, dense information presentation, real dark mode, and straightforward workflows.
AI is used where it provides practical value, particularly for understanding and structuring unstructured issue reports instead of forcing students to fill out complicated forms.
Challenges we ran into
One of the biggest challenges was designing a workflow that works for different roles without making the system complicated. A student mainly wants to report an issue and know what is happening, while a warden needs much more control over routing, assignments, staff, and issue management.
We also had to think carefully about cases where a maintenance team exists but does not actively use the application. Instead of assuming every department has its own app user, HostelDesk allows the warden to remain the central receiver while also sharing an issue with the relevant team.
Another challenge was making the AI useful without allowing it to take over decisions that should remain with hostel staff. The system assists with understanding and organization, while the warden remains responsible for routing and management decisions.
Accomplishments that we're proud of
We are proud of turning what is usually an informal complaint process into a structured end-to-end workflow.
The project brings together issue reporting, AI-assisted understanding, manual routing, maintenance tracking, student verification, and recurring-issue insights in one system.
We are also proud of designing the platform around real hostel workflows rather than simply building an AI chatbot for complaints.
What we learned
We learned that building a useful AI application is not just about adding an AI model. The surrounding workflow, data structure, user roles, and failure cases matter just as much.
We also learned how important it is to keep humans in control of decisions. AI can help organize and understand information, but the people responsible for managing a hostel should still be able to review, change, and make the final decisions.
Most importantly, we learned to design features around actual problems instead of adding AI just because it is possible.
What's next for HostelDesk
Next, we want to make HostelDesk more production-ready with stronger institute administration, better staff and department management, improved notifications, and more reliable AI-assisted issue classification.
We also plan to expand recurring-issue analytics so management can identify patterns such as frequently failing equipment, repeated plumbing problems, or issues concentrated in particular hostel areas.
The long-term goal is to make HostelDesk a complete digital operations layer for hostel maintenance while keeping the system simple enough for students and staff to use every day.
