Inspiration

We were inspired by the frustration customers experience when they cannot reach customer service representatives, especially outside normal business hours, such as between 10 PM and 6 AM. For businesses, providing round-the-clock support can be expensive and difficult to manage.

We wanted to bridge this gap by building HELPLY, an AI-powered customer service agent that helps businesses stay connected with their customers 24/7. We also recognized the need for customer service solutions that understand Ghana's linguistic diversity and allow customers to communicate in the languages they are most comfortable with.

What it does

HELPLY enables businesses to automate customer service through an AI-powered chatbot integrated into their websites and WhatsApp Business accounts.

After signing up and completing onboarding, businesses provide relevant information about their operations, products, services, and frequently encountered customer issues. HELPLY uses this information to help answer customer questions and handle routine support requests.

Key features include:

  • 24/7 Customer Support: Responds to customer inquiries even outside regular business hours.
  • Website Chatbot Integration: Allows customers to interact with businesses directly through their websites.
  • WhatsApp Business Integration: Enables customers to receive support through WhatsApp.
  • Text and Voice Note Support: Allows customers to communicate through text messages and voice notes.
  • Ghanaian Language Support: Designed to support English, Twi, Ga, Ewe, Fante, Dagbani, and Ghanaian Pidgin, leveraging Ghana NLP for Ghanaian language capabilities.
  • Reduced Customer Service Workload: Automates routine inquiries so human support teams can focus on more complex issues.
  • Improved Customer Experience: Helps businesses provide faster, more accessible, and consistent customer support.

Our goal is to make quality customer service accessible to businesses of all sizes without requiring them to maintain a large customer support team around the clock.

How we built it

We used modern web technologies to develop HELPLY's landing page, customer-facing system, and backend infrastructure.

  • Next.js: Used to build the landing page and present HELPLY's value proposition to potential customers.
  • React: Used to develop the web application through which businesses interact with the platform and manage their customer service setup.
  • Node.js: Used to build the backend responsible for handling application logic and supporting communication between system components.
  • Ghana NLP: Used as the language technology reference for supporting Ghanaian languages and making customer service more accessible to local users.
  • WhatsApp Business Integration: Enables customer interactions through WhatsApp.
  • Website Chatbot Integration:Allows businesses to embed HELPLY into their websites.

The platform follows a workflow in which businesses onboard, provide relevant company information, configure their customer support experience, and connect their communication channels. Once configured, HELPLY can assist with incoming customer inquiries.

Challenges we ran into

One of our main challenges was designing a customer service solution that could operate beyond traditional working hours while remaining useful, responsive, and consistent.

We also faced several important technical and product challenges:

  • Ghanaian Language Support: Supporting languages such as Twi, Ga, Ewe, Fante, Dagbani, and Ghanaian Pidgin requires careful consideration of spelling variations, dialects, voice recognition, and language processing.
  • Voice Note Processing: Enabling customers to communicate through voice notes introduces additional requirements for audio processing and language understanding.
  • Business-Specific Responses: The system needs to provide answers grounded in each business's information rather than generate unsupported responses.
  • Third-Party Integrations: Connecting website chatbots and WhatsApp Business requires reliable communication between different services.
  • Customer Trust: Automated customer service must be dependable and should recognize when a query requires human intervention.

These challenges reinforced the importance of building a solution that is not only technically functional but also practical for Ghanaian businesses and their customers.

Accomplishments that we're proud of

We are proud to have developed the concept and core architecture of HELPLY around a real business problem: making customer service available when customers need it most.

Our key accomplishments include:

  • Developing a platform concept that brings website chatbots and WhatsApp customer support together.
  • Using Next.js, React, and Node.js to establish the foundation for a modern web-based customer service solution.
  • Designing an onboarding process that allows businesses to provide information specific to their products, services, and customer needs.
  • Prioritizing support for Ghanaian languages to make AI-powered customer service more inclusive.
  • Exploring text and voice note interactions to make customer communication more natural and accessible.
  • Creating a solution with the potential to reduce customer support costs, improve response times, and help businesses serve customers around the clock.

Most importantly, HELPLY is designed with Ghanaian businesses in mind, while offering an approach that could also be extended to businesses in other markets.

What we learned

Building HELPLY helped us understand that developing an effective AI customer service platform involves much more than connecting a chatbot to a website.

We learned the importance of:

  • Designing AI systems around real customer problems and business workflows.
  • Providing business-specific context to improve the relevance of automated responses.
  • Considering local languages and communication habits when developing AI products.
  • Planning integrations carefully when working with external communication platforms.
  • Balancing automation with human support to ensure customers can receive assistance when AI is unable to resolve their issues.
  • Building scalable software architectures that can support additional businesses, communication channels, and languages as the platform grows.

We also learned that accessibility and localization can be significant differentiators for AI solutions targeting African markets.

What's next for HELPLY - Customer Service Agent

Our next steps are focused on improving HELPLY's capabilities, reliability, and readiness for real-world business use.

Our roadmap includes:

  • Enhanced Ghanaian Language Capabilities: Improving the handling of Twi, Ga, Ewe, Fante, Dagbani, and Ghanaian Pidgin, including dialect variations and voice-based interactions.
  • Advanced Voice Note Processing: Enabling customers to send voice notes and receive relevant responses through supported communication channels.
  • Human Agent Escalation: Allowing conversations that require human judgment to be transferred to a human support representative.
  • Business Analytics Dashboard:Providing insights into customer inquiries, response times, frequently asked questions, and automated interactions.
  • Knowledge Base Management: Allowing businesses to update their information and keep AI-generated responses aligned with current products, services, and policies.
  • Multi-Business Support: Expanding the platform to serve businesses across different industries, each with its own knowledge base and customer service configuration.
  • Security and Reliability: Strengthening data protection, access controls, and system monitoring.
  • Continuous Improvement: Using appropriate feedback and performance measurements to improve response quality and customer satisfaction.

Our long-term vision is to make HELPLY a trusted AI customer service partner for businesses in Ghana and beyond, helping them provide responsive, affordable, and accessible customer support at any time of day.
