Inspiration

This project was inspired by the vision of empowering residents of Muhammadiyah Welfare Home with a system that simplifies daily transactions and enhances their independence. We aimed to create a practical solution that not only streamlines operations but also fosters a sense of autonomy and responsibility among residents. The opportunity to develop a system that improves lives while addressing real-world challenges motivated us to tackle this project.

What it does

Throughout this journey, we gained valuable insights into designing systems that prioritize usability and security. We learned how to integrate user-centric design principles into web-based solutions, ensuring an intuitive experience for both residents and admins.

How we built it

  • Using Tools Like Figma to Realize Our Ideas Visual representation was critical to bridge the gap between concept and implementation. We leveraged Figma to:

    • Design Intuitive Interfaces: Craft user-friendly layouts for both resident and admin dashboards, ensuring accessibility for all users.
    • Collaborate in Real-Time: Multiple team members could work simultaneously on design iterations, fostering immediate feedback and quicker refinements.

Figma became an essential tool for translating abstract ideas into tangible, actionable designs, helping us maintain a user-centric approach.

From the beginning, we aligned every feature with the core challenges outlined in the problem statement. This focus ensured that our solution effectively addressed the needs of both residents and admins while optimizing usability, security, and efficiency. We broke down the problem statement into the following features.

  • For Residents:

    • User-Friendly Dashboard
    • Problem Tackled: Residents need an accessible way to manage vouchers, view transaction history, and browse available products.
    • Solution: A clear, intuitive dashboard that displays voucher balances, past transactions, and product availability in one place. The simple design reduces learning curves for users with varying levels of digital literacy.
    • Request and Preorder Items
    • Problem Tackled: Residents need the ability to request products from the minimart or preorder out-of-stock items conveniently.
    • Solution: A streamlined request system where users can request items and submit preorders with a few clicks, ensuring that they don’t miss out on essential products.
    • Secure Login System
    • Problem Tackled: Security concerns around accessing personal and financial information, especially for a system catering to a welfare home.
    • Solution: Implementing a secure login process with encrypted credentials, along with a mobile password reset feature to enhance convenience and accessibility.
  • For Admins:

    • User Management
    • Problem Tackled: Admins need to manage resident accounts, including adding, deleting, or resetting passwords, to maintain system integrity.
    • Solution: A dedicated module that allows admins to oversee user accounts with options to update credentials or deactivate accounts as needed.
    • Voucher and Product Request Approval
    • Problem Tackled: Admins must review and track resident requests while maintaining accountability.
    • Solution: A centralized approval system where admins can view, approve, or reject requests with detailed tracking and notifications, ensuring transparency.
    • Inventory Management with Audit Logs
    • Problem Tackled: Ensuring the minimart is well-stocked and that inventory updates are accurate and auditable.
    • Solution: A robust inventory system where admins can add or update stock, with automated audit logs to track every change for accountability.

Challenges we ran into

  1. Tight Constraints

    • The Challenge: Working within limited time, resources, and scope presented significant pressure. We had to prioritize core features while ensuring the system remained functional and aligned with the problem statement.
    • How We Addressed It:
    • Focused on delivering a Minimum Viable Product (MVP) first, including essential features like voucher management and product requests.
    • Adopted agile development practices, breaking the project into smaller tasks
    • Leveraged tools like Figma for rapid prototyping and early feedback, reducing the iteration time for design and development.
    • Collaborated efficiently, with clearly defined roles and regular progress check-ins to avoid bottlenecks.
  2. Researching the Target Audience

    • The Challenge: Understanding the specific needs, preferences, and challenges faced by residents and admins at Muhammadiyah Welfare Home was crucial. However, gathering accurate information required effort, especially since the audience has unique requirements.
    • How We Addressed It:
    • Studied similar welfare systems and best practices to understand what works and how to tailor our solution.

Despite these challenges, our commitment to understanding the target audience and managing constraints effectively allowed us to deliver a practical and impactful solution. These hurdles also taught us the importance of adaptability, prioritization, and user-centric design in creating solutions for real-world problems.
