Inspiration

Scholarship providers, universities, and NGOs process thousands of applications every year, yet much of the review process is still manual. Reviewing documents, verifying eligibility, identifying fraudulent submissions, and communicating with applicants takes significant time and resources. We wanted to demonstrate how agentic AI and intelligent automation can streamline this process while keeping humans in control of critical decisions.

What it does

GrantFlow AI is an AI-powered scholarship and student financial aid processing platform built on UiPath Maestro Case Management. Each application becomes a managed case that progresses through document verification, eligibility assessment, AI-assisted scoring, fraud detection, scholarship matching, human review, and automated applicant communication. The platform helps organizations process applications faster, improve consistency, and provide a better experience for students.

How we built it

We built GrantFlow AI using UiPath Automation Cloud as the foundation, with UiPath Maestro Case Management orchestrating the end-to-end workflow. UiPath LLM Gateway securely connects the platform to Anthropic Claude Sonnet, which powers document analysis, applicant scoring, summarization, and scholarship recommendations. AI agents collaborate throughout the workflow while human reviewers make the final decisions for exceptional or high-risk cases.

Challenges we faced

One of the biggest challenges was designing an agentic workflow that balances automation with human oversight. Scholarship decisions require fairness, transparency, and accountability, so we ensured every AI recommendation could be reviewed, overridden, or approved by a human. Another challenge was orchestrating multiple AI agents while handling exceptions such as missing documents, incomplete applications, and potentially fraudulent submissions without interrupting the overall workflow.

What we learned

This project gave us hands-on experience building enterprise-grade agentic workflows with UiPath Maestro. We learned how AI agents, orchestration, and human-in-the-loop approvals can work together to automate complex business processes while maintaining governance, reliability, and trust. We also gained practical experience integrating large language models into structured enterprise workflows through UiPath LLM Gateway.

What's next

We plan to expand GrantFlow AI with integrations to university Student Information Systems (SIS), multilingual support, mobile access, real scholarship databases, analytics dashboards, and predictive insights that help institutions make faster and more informed funding decisions.
