Inspiration

Walk into almost any basic or secondary school at the close of a term, and you'll see the exact same scene: piles of heavy paper registers covering desks, and teachers sitting with red and green pens, working tirelessly late into the night. They spend endless hours calculating Continuous Assessment (SBA) marks and handwriting individual student report cards.

In most of these schools, the problem isn't a lack of teacher dedication, it's an outdated, inefficient administrative system. Educators waste days on tedious data entry and manual math, producing error-prone report cards. Worse, physical logbooks regularly get worn out, damaged, or lost, taking months of student history with them.

Our goal was simple: make school administration fast, light, and stress-free by leveraging accessible technology. We asked ourselves: "What if managing class records, assessments, and term reports was as simple as filling out a clean, digital form from any smartphone or laptop?" That is how Gradebook was born.

What It Does

Gradebook eliminates paperwork for teachers through a mobile-first platform designed for modern classrooms:

Mobile Attendance & Registers: Teachers can mark daily class attendance in seconds from any phone or laptop, saving a permanent, tamper-proof record automatically. Automated Assessment & Grading: No more manually adding up test scores or calculating averages. The system automatically handles totals, subject averages, and grade distributions, completely eliminating arithmetic mistakes. One-Click Term Report Cards: Teachers no longer have to handwrite dozens of terminal reports. School directors and class tutors can generate clean, professional student report cards with a single click. Real-time School Visibility: School proprietors and headmasters get an instant, high-level dashboard showing total enrollment, school-wide attendance trends, and overall academic performance at a glance.

How We Built It

We built Gradebook as a lightweight, lightning fast Progressive Web App designed to run smoothly on basic mobile devices and fluctuating internet connections: Frontend & Interface: Built using Next.js and React, styled with Tailwind CSS to deliver a responsive, clean user experience that feels natural on small phone screens and desktop monitors alike. Backend & Database: Powered by Supabase for secure authentication, real-time database updates, and row-level security policies to ensure teachers only access their assigned classes. Hosting & Deployment: Deployed serverless on Vercel for instant global delivery, fast load times, and high reliability.

Challenges We Ran Into

  1. Designing for Mobile-First Workflows: Many teachers manage their classroom records entirely on their phones rather than computers. Fitting wide continuous assessment tables and complex grade rosters onto small mobile screens without feeling cramped required constant layout tweaking.
  2. Handling Flexible Grading Schemes: Different subjects and grade levels often use varying weightings for classwork, homework, and end-of-term exams. Designing a flexible database structure that could accommodate custom grading scales while keeping math calculations accurate was a tough technical puzzle.
  3. Role-Based Data Privacy: Student marks and personal data require strict privacy. Setting up database rules so that subject teachers, class tutors, and headmasters each had the exact right level of view and edit permissions took significant configuration.

Accomplishments That We're Proud Of

Zero-Training Usability: Created an intuitive interface that teachers can pick up and use immediately without needing complex technical training or reading a manual. Saving Weeks of Teacher Burnout: Transformed the end-of-term report card process from weeks of tedious handwriting into a seamless, automated task finished in minutes. Fast, Accessible Deployment: Successfully launched a lightweight web application hosted on Vercel that loads instantly across all devices and mobile networks.

What We Learned

Building Gradebook taught us a clear lesson: the best educational technology gets out of the teacher's way. Teachers don't want bloated, complicated enterprise software filled with features they will never touch. They want a reliable, simple tool that handles their daily chores thus, taking attendance, entering scores, and printing report cards fast, accurately, and painlessly.

What's Next for Gradebook

Parent WhatsApp & SMS Gateways: Automatically delivering terminal report card summaries, attendance alerts, and announcements directly to parents' phones. Offline-First Capabilities: Enabling full offline functionality so teachers in low-connectivity areas can mark registers and enter grades without active internet, syncing automatically once reconnected.
