💡 The Inspiration

Growing up, I watched my father run his retail store almost entirely manually - physical bills, handwritten records, and constant coordination with staff. I saw how much time went into basic tasks like tracking everyday payments and reconciling stock. Time that could have been spent on his health, growing the business or with family.

This isn't unique to him and still hasn't been fixed. Across the world, 400+ million SMEs (including 30 million in the US) contribute 50-70% of global GDP, yet most still rely on manual processes and chat apps for daily operations.

good admin is my attempt to change that with the help of AI - giving business owners AI-first tools and intelligence they need to stop surviving and start growing, all without learning complex software. I believe AI makes it possible, for the first time, to bring enterprise intelligence, automations and structure to these micro businesses, and hook it into right where they operate and how they operate.

📈 Insights from Day 1

  • Gives trends and insights from Day 1 of your data coming in.
  • Insights are usually an afterthought for SMEs - this changes the model and helps them get a better glimpse of what's happening with their business.

🛠️ How I Built It:

The Bolt-Powered Development: Aligning with Bolt's "ship fast, iterate quickly" philosophy. I used Bolt extensively for rapid prototyping and iterative development. I first developed a working app that accepted whatsapp and email inputs and processed the data and then moved out to integrating files/etc.

Tech Stack:

  • Backend: Supabase (Postgres, auth, real-time APIs), s3, Vector stores and Embeddings
  • Frontend: React with Vite
  • Integrations: WhatsApp, email processing, LLMs
  • Data Processing: OCR pipelines + custom parsing for unstructured SME inputs, vector stores and embeddings

🚧 Challenges I ran into

  • Data Extraction Complexity: Converting unstructured inputs (receipt photos, voice notes, casual messages) into meaningful business data and providing the right context to the LLM.
  • WhatsApp Integration: Working with free tier limitations while providing proper verification process.
  • Async processing of documents : You upload the document, the assistant gets to work async to extract key data while you can continue doing more of your work

Technical Achievements:

  • Seamless multi-platform integration (WhatsApp, email, web)
  • Under 2-minute setup process with zero learning curve
  • Smart AI assistant that understands small business contexts
  • Viewing files right in the platform.

Market Validation:

  • Strong research on the problem statement and the market.
  • Addresses a global problem with meaningful scale

📚 What I Learned

Market Insights: Research revealed that 85% of micro business owners struggle with time management, yet only 29% have structured systems. More striking: only 25% have started using AI tools vs 65-75% adoption among larger enterprises. This gap represents both a clear problem and massive opportunity.

Technical Growth:

  • Bolt-Assisted Development: Learned to work with bolt to do faster development.
  • Learned a lot about Supabase and it's features and how fast it made setting up auth and backend.
  • User-Centric Design: I started out with a complicated setup process, after couple of tests with friends, did quite a lot of changes to make onboarding simpler.

What it does

GoodAdmin is an AI-powered business assistant built for micro and small businesses . It brings all their business data, documents, and daily tasks into one chat-driven, intelligent platform. No complicated software, no training required.

How we built it

Product side :

  • Started out with going through a couple of business groups that I have been part of, especially my dad's business and seeing how they share unstructured data with each other and keep a record on WhatsApp.
  • I quickly figured that this would be a good space for them to innovate on and now with AI, they can extract the data.
  • So it uses multiple integrations - OpenAI APIs, Twilio's WhatsApp integration as well as SendGrid's email integration to get and respond with data and does processing by applying a lot of internal extraction logic as well as the processing logic that is there.

Challenges I ran into

  • Extracting key details is tricky.
  • Auth and authorization
  • Image and file processing
  • Using edge functions

Accomplishments that we're proud of

  • E2E data extraction from images, files and text
  • Whatsapp, email and chat integration

What's next for good admin

  • Making GoodAdmin even more powerful and action-oriented for micro businesses.
  • Upcoming features include integrations like calendars and email platforms, enabling business owners to send follow-up emails, book meetings and take other actions all through a simple chat command.
  • Another major milestone on our roadmap is giving customers the ability to create their own custom data structures. This will allow businesses to define exactly what kind of data they want to track, be it delivery schedules, customer preferences, payment terms, or any other operational metric without needing any technical expertise.

Our long-term goal is clear: to become the AI-powered back office for micro businesses globally, giving them back their time, simplifying decision-making, and helping them unlock their next phase of growth.
