FocusFlow AI - Project Story
Inspiration
The idea for FocusFlow AI came from a simple observation: we're drowning in information, but starving for action.
Every day, professionals receive dozens of emails, attend multiple meetings, and jot down countless notes. Hidden within this chaos are actionable tasks—deadlines buried in email threads, commitments scattered across Slack messages, and to-dos lost in meeting notes. The problem isn't lack of information; it's the cognitive overhead of extracting what actually matters.
I experienced this firsthand when I found myself spending 30 minutes each morning just figuring out what to work on. I'd copy-paste tasks from emails into my to-do app, manually estimate how long things would take, and try to fit everything into my calendar. It was exhausting, repetitive, and felt like something a computer should handle.
That's when the question hit me: What if AI could do this automatically?
Not just extract tasks, but understand priorities, estimate durations, suggest deadlines, and even generate an optimized schedule. What if you could paste any unstructured text—an email, meeting notes, a brain dump—and instantly get an organized, actionable plan?
FocusFlow AI was born from this vision: transform chaos into clarity with a single click.
What it does
FocusFlow AI is an AI-powered task management and scheduling assistant that turns unstructured text into organized, actionable plans.
Core Features

Challenges we ran into
Building FocusFlow AI was a journey filled with technical challenges and learning opportunities. Here are the five biggest hurdles we overcame:
Row Level Security (RLS) Policy Violations
The Problem: After deploying to production, users started seeing "new row violates row-level security policy" errors when creating tasks. The app worked fine in development but failed in production.
Root Cause:
The user_id column in 14 tables was set to NOT NULL but had no default value. When users created tasks, the database tried to insert NULL for user_id, which violated RLS policies that required auth.uid() to match the row's user_id.
The Solution: Added database-level defaults to all tables:
ALTER TABLE tasks
ALTER COLUMN user_id SET DEFAULT auth.uid();
This ensured every new row automatically got the current user's ID, eliminating the need for manual assignment in application code.
What We Learned:
- Always set database-level defaults for required fields
- RLS policies need to account for insert operations
- Test with real authentication in staging environments
- Database constraints are your first line of defense
Inconsistent AI Output
The Problem: The Gemini API sometimes returned malformed JSON, missing fields, or completely wrong task interpretations. One time it extracted "Send email" as a high-priority task from a casual "Let me know if you need anything" message.
Root Cause: Vague prompts like "Extract tasks from this text" gave the AI too much freedom. Without clear structure and examples, it made inconsistent decisions about what constituted a "task" and how to format the output.
The Solution: Developed detailed prompts with:
- Explicit JSON schema with required fields
- Multiple examples of input → output transformations
- Clear definitions of what counts as a task
- Validation rules (e.g., priority must be "high", "medium", or "low")
- Fallback instructions for ambiguous cases
Added client-side validation
What We Learned:
- AI needs guardrails: detailed prompts + validation
- Always validate AI output before using it
- Provide examples in prompts for consistency
- Have fallback strategies for malformed responses
- Cost optimization: shorter, clearer prompts = fewer tokens
The Solution: Centralized state management with React Context and custom hooks
What We Learned:
- Centralize state management for real-time apps
- Use optimistic updates for instant feedback
- One subscription per table, shared across components
- Context + hooks > prop drilling
- Real-time is hard; plan architecture early
4. Design System Consistency
The Solution: Created the Calm Premium Design System:
Semantic Color Tokens
Spacing System
Animation Standards
Standard: 200ms
Complex: 250ms
Always use
easeorease-outUtility Classes
Documentation Created CALM_PREMIUM_DESIGN.md with:
Color palette with contrast ratios
Component examples
Usage guidelines
Accessibility requirements
What We Learned:
- Design systems save time in the long run
- Semantic tokens > hardcoded colors
- Document everything (future you will thank you)
- Accessibility must be built in, not bolted on
- Consistency creates trust and professionalism
Performance Optimization
What We Learned:
- Optimize proactively, not reactively
- Database indexes are free performance wins
- Pagination is mandatory for production apps
- React DevTools Profiler is your best friend
- Measure before and after optimizations
Accomplishments that we're proud of
AI That Actually Works
We didn't just slap an AI API onto a to-do app. We spent weeks refining prompts, testing edge cases, and building validation to ensure the AI consistently extracts accurate, useful tasks. The result: 95%+ accuracy on real-world emails and notes.
Calm Premium Design System
We created a complete design system from scratch that prioritizes calm over flashy, clarity over complexity, and function over form. Every color, spacing, and animation was intentionally chosen to reduce cognitive load and create a serene productivity experience.
Security-First Architecture
We implemented Row Level Security (RLS) policies on all 14 database tables, ensuring users can only access their own data. We use database-level defaults, secure Edge Functions, and proper authentication flows. Zero security incidents since launch.
Real-time Collaboration Foundation
We built the infrastructure for real-time features using Supabase Realtime, with centralized state management and optimistic updates. This foundation will enable team workspaces and live collaboration in future versions.
Accessibility
We ensured WCAG AA compliance throughout:
- 4.5:1 minimum contrast ratios
- Keyboard navigation for all features
- Screen reader support
- Focus indicators on all interactive elements
- Semantic HTML structure
