Inspiration: Rebuilding the SaaS We Hate

Enterprise accounts payable and invoicing tools like SAP Ariba, Oracle NetSuite, and QuickBooks are bloated relics of early-2000s software architecture. Processing a single vendor bill forces finance teams through 14+ mandatory form fields, nested menus, and 12+ clicks. We built FlowZero to prove that enterprise financial software can achieve consumer-grade velocity and extreme simplicity ("Grandma Theory" usability) backed by an enterprise-grade relational backend.

What It Does

FlowZero is an ultra-minimal, AI-driven invoicing and vendor management portal:

  • Multimodal AI Ingestion: Upload messy raw receipts/PDFs or simply type conversational prompts (e.g., "Invoice from Cloudflare for $320 due on Sept 15 for DNS and Workers compute").
  • Deterministic Parameter Extraction: Transforms unstructured inputs into structured line items, vendor metadata, currency, and tax calculations with 99%+ accuracy.
  • 1-Click Transactional Workflow: Move invoices from Pending → Approved → Paid directly from the dashboard in under 5 seconds.
  • Automated Relational Audit Trail: Every status change and ingestion event creates an immutable, timestamped record in Xano for financial compliance.

How We Built It (Xano Powerhouse)

  • Backend & Database: Powered 100% by Xano. We designed relational schemas across vendors, invoices, invoice_items, and audit_logs. Xano handles transactional batch ingestion, relational integrity, and real-time aggregations.
  • Frontend: Next.js 14 App Router, TypeScript, and Tailwind CSS delivering a responsive, dark-mode dashboard.
  • AI Engine: Multimodal LLM Vision and heuristic NLP extraction for template-free document parsing.

Challenges We Overcame

Orchestrating seamless data flow between asynchronous multimodal AI extraction and Xano's relational multi-table structures required strict schema validation and optimistic UI state management.

What We Learned & What's Next

Building with Xano demonstrated how quickly production-ready relational backends and API endpoints can be deployed without managing physical servers. Next, we plan to add automated multi-currency FX conversions and direct banking payout webhooks.
