How we built it# FlowPilot AI — Turning Business Goals Into Actionable Workflows

Inspiration

As the founder of Tierra AI Labs, I wanted to create something practical for small-business owners, entrepreneurs, and people who have great ideas but struggle to organize the steps needed to bring those ideas to life.

I believe building useful technology should be accessible, even to people who don't come from traditional software engineering backgrounds.

FlowPilot AI was inspired by a simple question: What if someone could describe a business goal in everyday language and receive an organized workflow to help them get started?

I also wanted to explore how AI could make planning more accessible to English- and Spanish-speaking users.

What It Does

FlowPilot AI is a bilingual workflow planning application designed to help small businesses organize their goals into manageable tasks.

Users can:

  • Enter a business goal or project request.
  • Generate an organized workflow with prioritized tasks.
  • Track progress by checking off completed tasks.
  • View workflow tasks in English or Spanish.
  • Use a responsive dashboard designed for simplicity.

The application supports Google Gemini for AI-powered workflow generation and translation when an API key is configured.

It also includes a clearly labeled demonstration mode that allows users to explore the interface with sample tasks and Spanish examples without an API key.

How I Built It

I developed FlowPilot AI using an AI-assisted, incremental development approach.

Technologies used:

  • JavaScript: Application logic and interactive functionality.
  • Node.js: Backend server and API endpoints.
  • HTML5 and CSS3: Responsive user interface.
  • Google Gemini API: Optional AI-powered workflow generation and translation.
  • PowerShell: Local development and testing.
  • Git and GitHub: Version control and source code hosting.
  • Node.js test runner: Automated testing.

I divided development into four stages:

  1. Workflow generation: Created the server, request handling, and workflow interface.
  2. Task tracking: Added interactive completion checkboxes and progress tracking.
  3. Bilingual support: Implemented English/Spanish workflow views while preserving task completion states.
  4. Dashboard improvements: Refined styling, accessibility, and demonstration translations.

Each stage was tested and committed to Git.

Challenges I Faced

One challenge was designing the application to work without requiring paid services or an API key during development.

I addressed this by adding a demonstration mode that is clearly distinguished from live Gemini-powered functionality.

Another challenge was preserving task completion states when users switched between English and Spanish. I handled this by retaining the original task data and updating the displayed descriptions separately.

I also worked through local server port conflicts, request validation, and responsive interface improvements.

Accomplishments I'm Proud Of

I'm proud that I built a working application from an idea and developed it through four structured stages.

The project includes:

  • A functioning workflow dashboard.
  • Interactive progress tracking.
  • Bilingual task display.
  • Optional Gemini integration.
  • Automated tests that passed.
  • A public GitHub repository.
  • An application architecture map explaining how the system works.

Most importantly, this project reflects my approach to learning technology: start with a practical problem, build one piece at a time, test it, and keep improving.

What I Learned

This project helped me strengthen my understanding of how frontend and backend applications communicate.

I learned more about building HTTP API endpoints, validating data, managing browser state, handling asynchronous requests, and testing application behavior.

I also gained experience organizing an AI-assisted development process into small, reviewable stages.

What's Next

I want to continue developing FlowPilot AI into a more complete productivity tool for entrepreneurs and small businesses.

Future improvements may include:

  • Saving workflows between sessions.
  • Exporting workflows as documents.
  • Supporting additional languages.
  • Adding business-specific workflow templates.
  • Integrating with calendars and task management platforms.
  • Expanding AI-powered workflow customization.

FlowPilot AI is part of Tierra AI Labs' mission to make practical AI tools more accessible to everyday builders and business owners.

Current demo-mode workflows and Spanish examples are illustrative. Live AI-generated workflows and translations require a configured Gemini API key.
