Inspiration

Many students, creators and working professionals use task lists, but still struggle with one important question: “What should I do next?”

When multiple deadlines, priorities and incomplete tasks come together, deciding the next best action becomes difficult. Missed deadlines also force users to manually reorganize their plans.

FlowPilot was built to solve this workflow-overload problem. It transforms a normal task list into a clear decision-support workspace that helps users understand priorities, recover from missed deadlines and stay focused.

What it does

FlowPilot is a local-first task-management and workflow-intelligence web application.

Users can create tasks with a title, category, deadline, priority, estimated effort and importance score. The dashboard then calculates live metrics such as total tasks, tasks in progress, completed tasks, overdue tasks, completion rate and upcoming deadlines.

The core feature is the “What Should I Do Next?” recommendation. FlowPilot analyzes real saved task records and recommends the most relevant incomplete task. It also provides a readable explanation, for example:

Recommended first because it is due today, has high importance and requires only 30 minutes.

Users can also:

  • Create, edit, delete and complete tasks
  • Reopen completed tasks
  • Search, filter and sort tasks
  • View a transparent priority score
  • Reschedule missed or upcoming tasks
  • Receive deadline-conflict warnings before confirming a new date
  • View workflow analytics for task status, priority distribution, category workload, overdue tasks and remaining effort

How we built it

FlowPilot was built as a full-stack web application using:

  • Python
  • Flask
  • SQLite
  • HTML5
  • CSS3
  • JavaScript
  • Jinja2 templates
  • Pytest
  • Git and GitHub

The application uses a modular Flask architecture with separate routes, services, templates and database layers.

SQLite stores all task information so data remains available after refresh or application restart. Parameterized SQL queries are used for safer database operations.

The interface was designed as a modern SaaS dashboard with a deep navy theme, blue, cyan and purple accents, responsive cards, accessible focus states and a mobile-friendly collapsible sidebar.

Smart prioritization approach

FlowPilot currently uses a transparent rule-based recommendation engine, not a trained AI model or an LLM.

The priority score is calculated using:

Priority Score =
Priority Base
+ Importance × 6
+ Deadline Urgency
+ Short-Effort Bonus
+ In-Progress Bonus
