Inspiration
The project was inspired by a real institutional timetable planning task involving many courses, instructors, student groups, locations, rooms, merged courses, online classes, and external practice placements. The main challenge was that input data changed continuously, while the timetable still had to remain consistent, transparent, and ready by deadline.
What I Built
I built and documented an AI-assisted workflow for flexible institutional timetable planning and validation. The workflow uses spreadsheet-based input data and supports conflict checking, timetable proposal generation, calendar-view outputs, printable group sheets, and documented validation steps.
How I Built It
I used ChatGPT and Codex as decision-support and validation tools. The workflow processed Excel-based course lists, instructor requests, room and capacity data, merged-course information, student group data, and timetable constraints. Codex helped generate calendar views, identify conflicts, compare required and scheduled teaching hours, and support iterative timetable corrections.
Challenges
The main challenges were handling frequent input changes, merged courses, instructor availability, student group conflicts, room capacities, online versus in-person teaching, and external practice locations. Another challenge was preserving already accepted timetable elements while applying only the minimum necessary changes.
What I Learned
I learned that AI can be highly useful in complex administrative planning, especially when it is used as a human-supervised decision-support system. The project showed that AI can help detect errors earlier, organize changing information, document decisions, and make timetable planning more transparent and controllable.
What Comes Next
The methodology can be further developed for other higher-education or institutional scheduling environments. Future work could include more automated data validation, standardized import and export formats, improved visual dashboards, and deeper integration with institutional timetable systems.
