For this project, we aimed to create a practical, centralised, and easy-to-use fleet management system for all staff at Healthwise.
Key Features
Admin Dashboard
The admin dashboard provides visibility over key fleet metrics, including:
- Vehicle availability – Displays fleet capacity and vehicle activity.
- Vehicle age and lifecycle tracking – Identifies vehicles approaching 100,000km or five years of age, helping admin staff prepare vehicle for retirement and sale.
- Upcoming vehicle events – Tracks registration, insurance, and servicing dates, with alerts for upcoming expiries.
- Staff usage monitoring – Provides mileage statistics to help identify high vehicle usage and support driver fatigue management.
- Tyre wear monitoring – Tracks tyre condition using tread depth data.
- Excess mileage alerts – Highlights vehicles experiencing unusually high usage.
Vehicles
The Vehicles section includes a complete list of fleet vehicles and associated information, including:
- Vehicle type
- Licence details
- Location
- Availability
- Odometer readings
- Registration and insurance details
- Service dates
- Tread depth
Individual vehicle profiles would also include:
- Vehicle images
- Compliance records
- Service history
- Fuel data
- Booking information
Bookings
Staff would be able to book vehicles through the application by logging in and selecting:
- Pickup location
- Start and end dates
- Available vehicle
- Trip details, including driver, destination, and usage type
Fuel and Odometer Capture
Each vehicle would be supplied with a printed QR code linked to start and finish odometer forms. Staff could use their mobile devices to quickly submit odometer readings before and after trips.
Using the same QR code, staff could also photograph and upload fuel receipts directly into the application at the time of purchase. The QR code would be attached to the vehicle keys for easy access.
Staff Management
The Staff section would include a list of all employees authorised to use fleet vehicles, including:
- Staff name
- Username
- Driver licence expiry date
- Licence status
Administrative users would also have the ability to add, edit, and remove staff records.
Audit and Administration
Administrative functionality would include managing fleet vehicles and staff records, including the ability to:
- Add vehicles
- Edit vehicle information
- Delete vehicles
- Manage staff records
