Inspiration

As a frequent business traveler, I’d spend hours each month manually inputting receipts, matching transactions, and cross-checking company policies—time better spent on actual work. I saw a gap: small businesses and solo professionals needed a seamless, AI-powered tool to automate this tedious process, so ExpenseBot was born.

What it does

ExpenseBot automates every step of expense reporting: snap a receipt (or upload one) for AI-powered data extraction, auto-match to credit card transactions, real-time policy compliance checks, GPS mileage tracking, and one-click submission/export to top finance tools. It eliminates manual data entry and ensures 98% policy compliance.

How we built it

We started with Figma to design a premium, responsive UI (focused on smooth animations and intuitive flow). The front end was built with React/TypeScript, using CSS3 for glassmorphism, gradients, and micro-animations. Backend logic (policy rules, mileage calculations) runs on Node.js/Express, with integrations to finance tool APIs and GPS services for trip logging.

Challenges we ran into

Fine-tuning the AI receipt extraction to hit 80%+ accuracy for varied receipt formats was tough—we iterated on OCR models and merchant name matching logic repeatedly. Balancing visual polish (animated stats, floating UI elements) with mobile responsiveness also required countless tweaks to ensure performance across devices.

Accomplishments that we're proud of

We created a tool that cuts average report submission time to 4 minutes (down from hours), achieved 98% policy compliance for users, and built a UI that’s both beautiful and functional—users love the smooth animations and intuitive workflow, not just the automation.

What we learned

We mastered balancing form and function: premium design doesn’t have to sacrifice performance. We also learned the nuances of global expense policies (adapting to IRS mileage rates, regional currency support) and the importance of user-centric testing—early feedback shaped the policy check logic and mobile-first features.

What's next for this project

We’re expanding support for more regional finance tools, adding team-level admin workflows, and refining the AI to handle multi-language receipts. We also plan to roll out native mobile apps (iOS/Android) to make receipt capture even easier for on-the-go users.
