Inspiration Senior corporate employees don’t lack tools—they’re overwhelmed by them. Calendars, emails, meetings, and tasks are scattered across platforms, leading to decision fatigue and missed priorities.
We noticed that most productivity apps focus on tracking time, but not on guiding decisions. This inspired us to build a system that doesn’t just organize work—but actively tells users what they should do next and why.
What it does NexFlow AI is an intelligent executive assistant that transforms schedules and tasks into clear, actionable next steps.
Analyzes meetings, tasks, and deadlines in real time Recommends the most important next action Provides confidence scores and reasoning for each suggestion Automatically adjusts schedules when tasks are missed Prepares users before meetings and tracks follow-ups
How we built it We focused on a simple but powerful architecture:
Frontend: React / Next.js for a clean, responsive UI Backend: Firebase for real-time data and authentication AI Layer: OpenAI / Gemini API for: Task prioritization Meeting summaries Context-based recommendations Integrations: Google Calendar API (for schedules
Challenges we ran into
Accomplishments that we're proud of Built a system that goes beyond reminders → action intelligence
Designed a clean, executive-level UI focused on clarity Created a working model that: Suggests next steps Explains decisions Adapts dynamically
What we learned Ensuring AI reliability
Raw AI suggestions can be inconsistent We solved this by adding confidence scores + reasoning layer Avoiding over-complex UI Too many features = confusion We simplified into a single “Next Action” focus Context understanding Combining tasks + meetings + time wasn’t straightforward Required structured data + prioritization logic
