What it does
Event Flow is an intuitive, real-time event management platform designed to keep organizers, speakers, and attendees perfectly in sync. Instead of relying on static PDFs or messy spreadsheets that quickly become outdated, Event Flow provides a live, dynamic timeline. Organizers can seamlessly adjust schedules on the fly, and updates are instantly broadcasted to everyone involved, ensuring that delays, room changes, or sudden announcements never cause chaos.
How we built it
We engineered Event Flow to be fast, responsive, and mobile-friendly, recognizing that most users access event apps on the move.
- Frontend: Built using React and Tailwind CSS for a sleek, modern UI/UX optimized for mobile screens.
- Backend: Powered by Node.js and Express to handle seamless API routes and schedule management.
- Real-time Database: Utilizing Supabase/Firebase to ensure live data synchronization, so schedule updates reflect instantly across all devices without needing a page refresh.
Challenges we ran into
Our biggest hurdle was handling real-time synchronization conflicts. If multiple organizers attempted to modify different parts of the timeline simultaneously, it could result in overwritten data. We tackled this by implementing robust real-time listeners and database locks, ensuring that updates are processed sequentially and gracefully handled on the UI side.
Accomplishments that we're proud of
We are incredibly proud of our live sync latency—schedule updates propagate to all active users in under 200ms. We also managed to build a highly clean, intuitive dashboard that allows organizers to restructure a complex, multi-track event layout with just a few clicks.
What we learned
Building Event Flow taught us a massive amount about handling state management in real-time environments. We also gained a deeper appreciation for mobile-first UI design; when people are navigating a busy venue, every extra tap or confusing menu item matters. Simplicity is key.
What's next for Event Flow
We plan to scale Event Flow by adding offline-first capabilities using Progressive Web App (PWA) tech, ensuring users can still access their schedules in crowded convention centers with spotty internet. We also want to integrate an AI-powered schedule builder that automatically flags timing conflicts and optimizes speaker slots based on attendee interest.
