Inspiration
The inspiration for this project came from the difficulties faced during college events. Registration, attendance, certificates, feedback, and reports are often handled separately, which creates repeated work, duplicate records, and delays. We wanted to create one connected platform that makes the complete event process easier and more organized.
What it does
Our system provides a centralized platform for managing the complete event workflow. It supports event creation, participant registration, verification, QR-based attendance, notifications, feedback collection, certificate generation, and report preparation. Participant information is entered once and reused throughout the event, reducing manual work and repeated data entry.
How we built it
We built the prototype using simple web technologies such as HTML, CSS, and JavaScript. The system connects different event activities through a centralized workflow. QR-based attendance, participant verification, communication, certificate generation, and reporting are integrated into the same platform. The current prototype demonstrates the main event management workflow.
Challenges we ran into
One of the main challenges was designing a single workflow that could connect different event activities without repeatedly entering participant information. We also had to ensure that attendance, certificates, feedback, and reports could work together smoothly. Creating an easy-to-use interface while keeping the process organized was another challenge.
Accomplishments that we're proud of
We are proud of developing a working prototype that brings multiple event management activities into one platform. The system reduces repeated manual work, supports quick QR attendance, simplifies communication, enables faster certificate generation, and makes event information easier to track in one place.
What we learned
Through this project, we learned how to design an end-to-end workflow and connect multiple features within a single web platform. We also gained practical experience in HTML, CSS, JavaScript, QR-based processes, automation, and user-focused system design. Most importantly, we learned how automation can reduce repetitive work and improve event organization.
What's next for End-to-End Event Management Automation
In the future, we plan to add a proper backend and database for storing event and participant information securely. The platform can also be expanded with improved notifications, advanced analytics, automated report generation, and better event tracking. It can be adapted for college events, workshops, seminars, competitions, and other large-scale events.
