Inspiration

Students often face difficulties accessing their original educational certificates when they are required for job applications, internships, higher studies, passport verification, and other official purposes. In some institutions, original certificates may be retained due to pending fees or administrative issues, making it difficult for students to access their important documents when needed.

This inspired us to build EduArchive, a digital platform that makes educational certificates easier to store, access, retrieve, and verify securely.

What It Does

EduArchive is an Institutional Certificate Verification and Maintenance System that connects students and educational institutions through a centralized digital platform.

The platform allows students to view and download their available certificates without modifying the original records. College administrators can upload and manage student documents, update certificate statuses, and maintain student records. Authorized institutions can verify whether certificates are genuine and identify documents that require further verification.

The system also aims to use AI-powered document analysis and Optical Character Recognition (OCR) to extract certificate information and identify potential inconsistencies that may indicate document tampering. AI-generated results are treated as preliminary checks, with final verification performed by authorized personnel.

How We Built It

We designed EduArchive with separate modules for students, college administrators, and authorized verification personnel.

The frontend provides an interactive and user-friendly dashboard for accessing documents and managing records. The backend handles authentication, document management, verification requests, and communication between the frontend and database.

We planned a structured database to maintain student information, college details, certificates, verification records, and audit logs. AI and OCR capabilities support document information extraction and preliminary authenticity checks.

Our goal is to develop a secure, scalable, and responsive platform that can be used by multiple educational institutions rather than being limited to a single college or a local development environment.

Challenges We Faced

One of our main challenges was designing a system that supports multiple colleges while keeping student records organized and accessible only to authorized users.

We also had to consider document security, role-based access control, certificate verification, and the prevention of unauthorized modifications. Integrating AI-based document analysis while ensuring that its results are reliable was another important challenge.

We focused on creating a practical solution that combines digital document management, institutional verification, and AI-assisted analysis in one platform.

What We Learned

Through EduArchive, we explored full-stack application development, database design, user authentication, role-based access control, and document management.

We also learned how AI and OCR can support document verification, how different system modules communicate, and why security and data integrity are essential when handling educational records.

What's Next

We aim to enhance EduArchive with more advanced AI-based document analysis, QR-code-based certificate verification, secure document sharing, verification history, and notifications.

In the future, we envision EduArchive as a centralized digital certificate management platform that educational institutions can use to help students access their documents conveniently and enable faster, more reliable certificate verification.

Working on EduArchive has been a great learning experience for me. The main idea behind this project is to help students access their educational certificates easily and make the verification process simpler for colleges.

While building this project, we explored different ways to manage student documents, organize college records, and make certificate verification more convenient. We still have ideas to improve the project further, especially by adding better AI-based verification features.

I'm happy with the progress we've made so far, and I'm excited to keep improving EduArchive and turn it into something useful for students and institutions.
