Imagine ordering an expensive laptop online, making the payment successfully, but never receiving the product. You raise a complaint, but the merchant claims it was delivered. Now you have to search for payment receipts, order details, delivery proofs and other documents just to explain what happened.

This made us think: Why should resolving a payment dispute be more complicated than making the payment itself?

With the growing number of online transactions and digital payments, disputes between buyers and merchants are becoming an important challenge. The problem is not always the lack of evidence, but the difficulty of collecting, organizing, verifying and analyzing that evidence.

We wanted to build something that could make this process more transparent, organized and intelligent. That idea led to DisputePilot AI.

What We Built

DisputePilot AI is an AI-powered dispute investigation and resolution platform that connects buyers, merchants, analysts and administrators in one unified system.

Our platform focuses on simplifying the complete dispute lifecycle, from raising a complaint to investigating evidence and tracking its resolution.

We built four role-based experiences.

Buyer Dashboard: Buyers can view their transactions, raise disputes, upload supporting documents and track complaint progress.

Merchant Dashboard: Merchants can view disputes associated with their transactions, respond to complaints and submit invoices, shipping records and other supporting evidence.

Analyst Dashboard: Analysts can review disputes, examine evidence and use AI-generated investigation insights to support their decisions.

Admin Dashboard: Administrators can monitor users, merchants, disputes and overall platform activity.

What Makes It Different

The core of DisputePilot AI is its AI-powered investigation workflow.

Instead of requiring investigators to manually examine every document, our system uses AI to assist with evidence analysis, document understanding, identifying inconsistencies between buyer and merchant claims, extracting relevant information, retrieving relevant context using Retrieval-Augmented Generation and generating investigation summaries and recommendations.

For example, imagine a merchant claims that an order was delivered on Monday, but the available tracking document indicates Wednesday.

Our AI investigation workflow can identify this inconsistency and highlight it for the analyst to review.

AI assists the investigation process, while final dispute decisions remain subject to appropriate human review.

PayPal Integration

We chose PayPal because it is an established digital payments platform and a relevant part of the online transaction ecosystem.

Through PayPal Sandbox integration, we demonstrate how payment information and transaction identifiers can be connected to our dispute management workflow.

This helps us associate complaints with the correct transactions and merchants, providing a foundation for a more realistic multi-merchant dispute resolution system.

How We Built It

We developed DisputePilot AI by combining frontend development, backend services, database management and AI-powered investigation capabilities.

Our development focused on building a responsive role-based frontend, developing backend APIs for authentication, transactions and disputes, designing database relationships between buyers, merchants, orders and disputes, integrating PayPal Sandbox for payment workflow demonstrations, implementing AI-assisted evidence investigation and document retrieval, and creating separate dashboards with role-based access control.

We also focused on making sure that each merchant can access only their own relevant disputes, while administrators can monitor the overall platform.

Challenges We Faced

Building this project came with several interesting challenges.

Multi-merchant dispute identification was one major challenge. We needed to figure out how to route a buyer's complaint to the correct merchant when multiple merchants exist on the platform. We addressed this by linking disputes to transaction records and maintaining buyer, merchant and transaction relationships in our backend.

Authentication and role-based access was another challenge. Supporting multiple user roles required consistent authentication, authorization and dashboard routing. We had to ensure that users could access only the features permitted for their roles.

Payment integration also required careful handling of transaction identifiers, payment status and payment confirmation to connect payment information with our internal order and dispute records.

For AI evidence investigation, we wanted AI to do more than simply generate text. Making it useful for examining documents, finding relevant information and highlighting inconsistencies was an important technical challenge.

Deployment and database reliability required attention to API configuration, environment variables, database connectivity and production authentication.

These challenges helped us understand that building a real-world platform requires much more than creating an attractive interface. Every component must work together reliably.

What We Learned

During this project, we learned how to approach a real-world problem from both a technical and user perspective.

We gained experience in building full-stack applications with role-based authentication, designing relational database structures for multi-user systems, integrating payment workflows using PayPal Sandbox, applying AI and RAG to practical document investigation tasks, handling API communication, deployment and production debugging, and understanding security, transparency and human oversight in AI-powered systems.

Most importantly, we learned that AI is most valuable when it helps people make better decisions rather than simply replacing human judgment.

What's Next DisputePilot AI is our step toward making digital payment dispute resolution more accessible, transparent and efficient.

In the future, we aim to expand integrations with more payment providers, improve evidence verification, introduce more advanced AI investigation capabilities and support larger multi-merchant ecosystems.

Our vision is simple. Every transaction deserves trust. Every dispute deserves a fair investigation. With DisputePilot AI, we want to make that vision a reality.
