Inspiration

Meetings generate decisions, but the follow-up work often gets lost. Delegate.ai was inspired by the idea that meeting notes should become action, not another document to manage.

What it does

Delegate.ai turns meeting transcripts into structured follow-up plans, then helps execute them across tools like Gmail, Google Calendar, Docs, and Tasks.

How we built it

We built Delegate.ai with Next.js, TypeScript, Tailwind CSS, Firebase Authentication, Firestore, Genkit, and Google Workspace integrations. Recall.ai captures meeting context, while AI workflows extract decisions, owners, deadlines, and executable actions.

Challenges we ran into

The hardest parts were connecting meeting data to reliable downstream actions, handling authentication and permissions across services, and designing an experience that makes AI execution transparent and reviewable.

Accomplishments we’re proud of

We created a complete workflow from meeting capture to actionable follow-up. Delegate.ai can transform unstructured conversation into organized work while keeping users in control of what gets executed.

What we learned

AI is most useful when it closes the loop. Summarizing a meeting is valuable, but turning decisions into visible, verifiable progress is where the real impact happens.

What’s next for Delegate.ai

We plan to expand integrations, improve action accuracy and personalization, add richer approval workflows, and make Delegate.ai a dependable execution layer for every team meeting.
