Inspiration
The inspiration behind Dabre Cafe came from observing how small cafes often depend on manual billing and record-keeping, which can lead to calculation mistakes, slow service, and difficulty maintaining previous order records.
We wanted to create a simple, modern, and affordable cafe management solution that could automate these everyday tasks. This project also gave us an opportunity to apply our Java and OOP concepts to solve a practical real-world problem.
Our vision was to go beyond a basic billing calculator and build a foundation for a smart cafe management system that can later include inventory tracking, sales analytics, digital payments, QR ordering, and AI-based insights.
What it does
Dabre Cafe is a smart cafe billing and management system that simplifies everyday cafe operations through an easy-to-use graphical interface.
- 🧾 Creates bills automatically by calculating item prices, quantities, discounts, GST, and final totals.
- 🍔 Manages the cafe menu by allowing users to add, edit, and delete menu items.
- 👤 Stores customer details such as name and phone number with each order.
- 💰 Applies automatic discounts when the bill meets the required amount.
- 📄 Generates and saves bills as text files for easy record keeping.
- 📊 Maintains order history using CSV file storage, so previous bills remain available after restarting the application.
- 🖥️ Provides a modern GUI with dashboard, billing, menu management, and order history sections.

How we built it
We built Dabre Cafe using Java and Java Swing, focusing on creating a simple, attractive, and practical cafe management application.
Java Swing was used to develop the graphical user interface. Object-Oriented Programming (OOP) concepts such as classes, objects, encapsulation, inheritance, abstraction, and polymorphism were used to structure the project. A menu management module was created to add, edit, and delete cafe items. A billing module was developed to calculate subtotal, discount, GST, and final amount automatically. Event handling was implemented for buttons, menu selection, quantity changes, and user actions. File handling was used to save generated bills as .txt files. CSV file storage was implemented to maintain order history even after restarting the application. The interface was designed with a dashboard, navigation sidebar, tables, forms, and clear action buttons to provide a better user experience.
We developed and tested the application incrementally, fixing calculation, file-handling, and UI issues along the way to create a functional Smart Cafe Billing & Management System.
Challenges we ran into
While developing Dabre Cafe, we faced several challenges that helped us improve both our programming and problem-solving skills.
GUI Design: Creating an attractive and professional interface instead of a basic Java Swing layout was challenging. Billing Calculations: We had to ensure that subtotal, discount, GST, and final amount were calculated correctly. Bill History: Making sure previous bills were saved permanently and available after restarting the application required proper CSV file handling. Menu Management: Implementing add, edit, and delete operations while keeping the menu and item selection updated was challenging. File Handling: Handling file creation, reading, writing, and possible errors required careful exception handling. User Input Validation: We needed to prevent invalid quantities, prices, and empty customer or menu details from causing errors. Debugging: Fixing UI, event-handling, and data-storage issues required repeated testing and improvements.
These challenges helped us turn a basic billing concept into a more reliable, user-friendly, and hackathon-ready application.

What's next for Dabre Cafe – Smart Cafe Billing and Management System
Dabre Cafe is designed as a foundation that can be expanded into a complete Smart Cafe Management Platform. Our future plans include:
📊 Sales Analytics – Add dashboards and graphs for daily, weekly, and monthly sales. 📦 Inventory Management – Track ingredients and stock levels automatically. ⚠️ Low-Stock Alerts – Notify staff when important items or ingredients are running low. 💳 Digital Payments – Integrate UPI, QR-code, and other digital payment options. 📱 QR-Based Ordering – Allow customers to scan a QR code and place orders directly. 🎁 Customer Loyalty System – Add reward points, coupons, and personalized offers. ☁️ Cloud Database – Move from local CSV storage to a secure cloud database for centralized records. 🤖 AI-Based Insights – Predict popular items, sales trends, and future demand. 👥 Multi-User Support – Allow multiple cafe staff members to use the system. 📱 Mobile/Web Version – Extend Dabre Cafe beyond desktop to mobile and web platforms.
Our long-term goal is to transform Dabre Cafe from a Java-based billing application into a scalable, intelligent, and complete cafe management solution.
