Inspiration

It all began when one of our team member’s cousins tried to plan her own wedding, a day that was supposed to be one of the happiest of her life. Instead, spreadsheets piled up, vendors were hard to reach, and decisions never seemed to end. What should have been a dream day turned into a stressful blur. That moment sparked an idea. What if planning life’s most important events could feel exciting instead of overwhelming? From that question, CoordinAIte was born to bring joy, ease, and smart AI support to every celebration.

What it does

CoordinAIte is an AI-powered event planning assistant that helps users find, organize, and personalize every detail of their events. It recommends venues, themes, vendors, and schedules based on user preferences, creating a seamless planning experience from start to finish. With CoordinAIte, event coordination becomes faster, smarter, and stress-free.

How we built it

CoordinAIte was built using React for a dynamic and responsive front-end, with Node.js and Express.js powering the backend. We used TypeScript and JavaScript for robust, type-safe development and CSS for styling. Event data and vendor information are managed via REST APIs, while Gemini helps integrate AI-powered recommendations. We designed the interface in Figma to ensure a smooth, intuitive user experience, turning complex event planning into a simple, guided process.

Challenges we ran into

One of the biggest challenges was scoping the app. Event planning involves countless details, but we didn’t want to overwhelm users. We had to figure out how to take all that complexity and break it into tangible, manageable steps while letting CoordinAIte do the heavy lifting.

Accomplishments that we're proud of

We built an AI planner that transforms hours of stressful planning into minutes of organized, personalized suggestions. CoordinAIte can recommend details tailored to each user, making even complex events feel seamless. Seeing it actually streamline the planning process was incredibly rewarding.

What we learned

We learned how to combine AI, design, and real-world problem-solving into a tool that eases one of life’s most chaotic tasks. Iterating on feedback highlighted the importance of simplicity, personalization, and intuitive interfaces. CoordinAIte shows how smart technology can make stressful tasks surprisingly manageable.

What's next for CoordinAIte

We plan to enhance CoordinAIte’s functionality by enabling seamless event execution through the agentic capabilities of modern AI models. Our next goal is to transform CoordinAIte into a fully consumer-facing product that can handle everything from personalized planning to real-time booking, turning ideas into unforgettable events with a single click.
