Inspiration
Every semester, students struggle to find reliable information about academics, examinations, schedules, and official announcements. Most communication happens through WhatsApp groups, faculty messages, or word of mouth, which often leads to delays, confusion, and misinformation.
What it does
How we built it
We planned our system around three core components:
- Intelligent Query Response System
We built a chatbot that pulls answers from official documents, using text processing and structured data extraction. We applied simple NLP logic and keyword mapping to ensure answers are relevant and accurate.
- Complaint / Issue-Reporting Module
Students can submit concerns through a clean UI, and the Admin Dashboard allows faculty to: Review submissions Send responses Mark issues as resolved
- Web Application Interface We designed a responsive frontend that supports: Chat-based queries Document search Complaint submission Admin/faculty panel ## Challenges we ran into Every project comes with hurdles—here are ours:
- Understanding the official documents Many circulars were in PDF format, unstructured, or lengthy. Turning them into searchable, structured data was a big challenge.
- Ensuring answers were truly accurate We had to avoid giving wrong or incomplete responses. This required careful mapping and testing.
- Designing the admin workflow Faculty needed a simple but powerful interface, so we had to balance: Simplicity+Functionality
- Time constraints during the hackathon
We had to prioritize features, optimize our workflow, and build quickly without compromising quality.
Accomplishments that we're proud of
Built a fully functional web platform within the hackathon time limit — including both student and admin interfaces. Created an intelligent query-response system that pulls answers only from verified official documents, reducing misinformation. Designed a clean, user-friendly UI/UX that makes it easy for students to ask questions, search for details, and submit complaints. Developed a structured complaint management workflow where faculty can review, track, and resolve student issues efficiently. Successfully integrated multiple modules (chat interface, document handling, admin dashboard, complaint portal) into one seamless system. Improved collaboration within our team — from planning, coding, and UI design to debugging and testing under pressure. Gained hands-on experience with real-world problem solving, understanding how colleges handle communication and how tech can simplify it. Ensured accuracy and reliability of responses through strong data handling and document parsing methods.
What we learned
How to analyze real-world communication problems inside a college environment and convert them into technical requirements. Building a structured, reliable query-response system that answers student questions using only verified official documents. Improving our web development skills, including frontend design, UI/UX flow, backend logic, and database management. Handling unstructured data like PDFs, circulars, and notices, and converting them into meaningful, searchable information. Designing an intuitive admin dashboard that simplifies the complaint review and response process for faculty. Team collaboration under deadlines, including dividing tasks, managing feature priorities, and integrating multiple components smoothly. Debugging and problem solving, especially when connecting different modules like chat, complaint reports, and admin replies. Understanding how important user-friendly design is, especially for students who need quick and simple access to information. Balancing simplicity and functionality, ensuring the system stays easy to use while still being powerful and accurate.
What's next for CollegeAI Connect
Integrate advanced AI models to provide more conversational, context-aware answers and support multiple languages.
Automate document ingestion, allowing the system to automatically read new circulars, PDFs, and notices as soon as they are uploaded by the college.
Add voice-based query support, enabling students to ask questions through speech for faster accessibility.
