  • Ian's Reality We met Ian through Justin's (Cofounder) network—a freight broker who left his corporate role at TQL to build his own brokerage. Despite his deep industry relationships and operational expertise, Ian was drowning in administrative chaos, cycling through 8 different software platforms just to generate a single customer quote. He was lost on what steps to take to reach customers, unimpressed with his new website, and lost in paperwork. His struggle illuminated what Terralynn had observed in background working on the future of work and skills: skilled professionals have talent, but not always technical expertise and business know how. Andrew recognized the pattern from his consulting days—brilliant operators buried under business complexity they never asked for.
  • The Connection Ian's story validated everything we'd experienced before as solo operators with businesses. Justin saw his own early entrepreneurial struggles reflected in Ian's operational overwhelm. Terralynn recognized how technology was creating barriers instead of removing them. Andrew understood the technical debt of cobbled-together business systems.
  • The Realization This crystallized our core insight: over 50 million solo entrepreneurs in America possess the skills and relationships to succeed but lack enterprise-level operational systems that are easy, simple, and effective without the price tag. The technology breakthrough came when we realized AI and modern integration technologies like MCP could finally bridge this gap—giving individual operators the same sophisticated workflows that large companies deploy, without the enterprise cost or complexity.

What it does

Cogentic AI is an AI command center that gives solo service operators enterprise-level capabilities through natural language. We connect existing tools—HubSpot, QuickBooks, Gmail—so one conversation replaces hours of admin work across multiple platforms. Users can ask questions like "Who are my most profitable customers?" and the AI instantly pulls live data from HubSpot, analyzes it, identifies key contacts, and even drafts personalized follow-up emails. The AI will also be able to connect to tools like Quickboos for invoicing and Gmail for communications. The platform handles the entire workflow from data analysis to actionable execution, all through simple conversational commands. Starting with freight brokers, landscapers, and cleaning services, we're building industry-specific AI workflows while maintaining universal business operation capabilities, from CRM to invoice.

How we built it

Technology Stack:

  • Frontend: Built with Bolt (AI-assisted development) - generated >15k lines of code in 6 hours (React, Typescript, etc.) -- Bolt enabled our non-technical CEO to generate the entire prototype from scratch in just a few days
  • Backend: Supabase for auth and database, deployed on Heroku
  • AI Integration: Claude via Anthropic API with custom business prompts
  • External Connections: HubSpot MCP for live CRM integration, Gmail MCP in development

Key Architecture Decision: Rather than building another standalone platform, we designed Cogentic AI as an intelligent orchestration layer that connects existing tools operators already use or need.

Challenges we ran into

  • MCP Integration Complexity: Getting Claude to properly parse and act on live HubSpot data required extensive prompt engineering and error handling
  • Cross-Platform Synchronization: Ensuring data consistency when AI actions span multiple external systems
  • Natural Language Reliability: Making sure conversational commands consistently translate to correct business actions

Accomplishments that we're proud of

  • Live MCP Integration: Successfully built working HubSpot MCP connection that pulls real customer data and enables AI-driven insights
  • Rapid Development: Created a functional prototype with 15k lines of code in under a week using AI-assisted development (6 hrs -> 90% done on a flight!)
  • Real Customer Validation: Secured our first $15K contract with a freight company and interest from multiple service operators
  • Cross-Industry Applicability: Demonstrated that our platform works across freight, landscaping, and cleaning services with the same core architecture operating across a common workflow (from CRM to Invoice)
  • End-to-End Workflow: Built complete customer journey from data analysis to actionable email drafts, all through natural language

What we learned

Technical Discoveries:

  • MCP is a game-changer for AI integrations—it allows Claude to directly access and manipulate live business data rather than just analyzing static information
  • Building cross-platform orchestration requires thinking beyond individual API calls to entire workflow automation
  • The fastest development path combines AI-assisted coding (Bolt) with proven infrastructure (Supabase, Heroku)

Market Insights:

  • Solo service operators share remarkably similar operational patterns across industries—freight brokers, landscapers, and cleaning services all face the same core challenges
  • The "long tail" of small service businesses is underserved by existing platforms that focus on either enterprise clients or consumer tools
  • Natural language interfaces remove the technical barrier that prevents small operators from adopting sophisticated business systems

What's next for Cogentic AI

  • We're launching our Early Partner Program with a signed $15K contract from a freight company and growing interest from landscaping and cleaning service operators.
  • Our roadmap includes:
    • 2025: Launch restricted beta across all three verticals (freight, landscaping, cleaning) with 15 pilot customers
    • 2026: Expand to additional human-scale service industries with WhatsApp bot integration for field service coordination
    • 2027+: Scale to white-collar contractors and consultants

The vision is simple: every solo service operator should be able to compete with enterprise-level efficiency. We're not just building another AI tool—we're creating the operating system that lets the "little guys" punch above their weight class. Like Stripe Atlas + Shopify for service businesses, we're democratizing enterprise capabilities for the underserved market that big platforms ignore.
