ClinicFlow

Inspiration

We noticed that many clinics still rely on manual, paper-based queue systems. Patients often face long waiting times, lost queue slips, and lack of visibility on their turn. This inspired us to build ClinicFlow, a smarter and more transparent clinic workflow system that improves both patient experience and staff efficiency.

What it does

ClinicFlow is a smart clinic queue and appointment automation system. It allows patients to join a walk-in queue or book appointments online. Users receive a QR code for quick check-in at the clinic. The system provides live queue tracking, estimated waiting times, and priority handling for appointments. An AI chatbot is also included to help users with bookings, queue status, and clinic information.

How we built it

We built ClinicFlow as a full-stack web application using a modern frontend framework with a component-based architecture. The system manages queue logic, appointment scheduling, and real-time updates through a structured database. QR code generation is used for fast check-in, and the AI chatbot is integrated to improve user interaction and support.

Challenges we ran into

One of the main challenges was designing a fair system that balances walk-in patients and pre-booked appointments. Another challenge was implementing accurate queue estimation and ensuring the system remains responsive with real-time updates. We also had to simplify complex workflows so that the app remains easy to use for both patients and clinic staff.

Accomplishments that we're proud of

We successfully built a complete end-to-end clinic workflow automation system that includes queue management, appointment scheduling, QR-based check-in, live updates, and an AI chatbot. We are especially proud of the clean user experience and how the system simplifies a traditionally manual process.

What we learned

We learned how to design real-world workflow systems, manage queue logic, and structure scalable web applications. We also gained experience in integrating multiple features like QR systems, real-time updates, and AI assistance into one unified platform.

What's next for ClinicFlow

Next, we plan to improve ClinicFlow by adding SMS/WhatsApp notifications, doctor-side dashboards, advanced analytics for clinic performance, and better AI-powered recommendations for patient flow optimization. We also aim to optimize it for real-world clinic deployment.
