🚀 Ciclo Voklo: AI for Human and Operational Management in Micro-Enterprises
💡 Inspiration and Origin: Born from Real Frustration
It all started from a direct and draining experience. As a restaurant owner, I experienced firsthand the financial and emotional drain caused by operational negligence and inconsistent service. After carefully analyzing the situations that recurred day after day, the conclusion was eye-opening: the problem was not a lack of employee willingness, but a structural failure within the company. There was poor team management, a lack of analysis regarding role suitability, and a completely disorganized training process that depended on the mood of whichever instructor was on duty.
The objective became clear: to build a low-cost technological system that automates training, eliminates human variability in instruction, and professionalizes operational management. Together with Sebastián (Systems Engineer in charge of technical architecture), we transformed this operational need into Ciclo Voklo.
🧠 Theoretical Foundation: Mapping Organizational Complexity
To ensure the system operated as a genuinely intelligent platform rather than a simple static document repository, we grounded our decision engine in five fundamental theoretical pillars:
- Integral Theory (Ken Wilber): A holistic vision of human talent across its four quadrants.
- Complexity Theory (Edgar Morin): Analysis of the interconnection of organizational systems.
- System Dynamics (Jay Forrester): Modeling operational behavior and its feedback loops over time.
- Evolution of Consciousness (Jean Gebser): The relationship between the individual, culture, and work structures.
- Spiral Dynamics / Integral Psychology (Clare W. Graves): The evolution of levels of consciousness applied to the workplace environment.
Overcoming the Conceptual Barrier: Translating and integrating these behavioral sciences into an executable algorithm was no simple task. Thanks to advanced AI assistance and specific professional guidance from a psychology specialist, we were able to digest this theoretical complexity quickly and convert it into a practical architecture.
🎯 The Problem and Need in the Micro-Enterprise Market
There is a latent need across all productive sectors, but we face a particular phenomenon: the market has normalized the problem.
- When a waiter, assistant, or operator delivers poor service or makes mistakes, the micro-enterprise usually labels them as "negligent."
- The reality is that they deliver poor service because they received poor training, and that poor training happens because the business has nonexistent or poorly structured processes.
We find ourselves in a blue ocean: we have no clear direct competition solving operational structuring from the root for this niche. This means we must pave the commercial path. B2B sales become a lengthy educational process; therefore, we are structuring academic advertising campaigns designed to educate micro-entrepreneurs, helping them unmask the true root cause of their operational losses.
🛠️ The Heart of the System: The 8-Step Voklo Methodology
The core of our platform is Jhon, an AI agent specialized in organizational architecture. Jhon is trained to map the "knowing how to feel," "knowing how to think," and "knowing how to operate" of any company through an 8-step methodology:
- Cultural Analysis: Assessment of company identity, values, behaviors, conflict resolution, and mission.
- Technical Processes by Role: Definition of the how, the why, priorities, and responses to specific contingencies.
- General Operational Processes: Mapping of repetitive cycles (opening, customer service, production, maintenance, closing).
- Atomization: Breaking each cycle down into atomic processes to ensure every small step is 100% executable.
- Flow Optimization: Strategic refinement of the operation to eliminate bottlenecks and redundancies.
- Matrix Structuring: Automated creation of dynamic technical training guides.
- Metric-Operational Validation: Real-time adjustments based on proven personnel performance.
- Operational Shielding: Formalization of the organization's "living" operations manual.
🤖 The Technological Ecosystem: Jhon, Jenny, and the Aptitude Report
- Jhon: The process and organizational culture architect who designs the operational matrix.
- Jenny: The training AI that evaluates video evidence submitted by employees against Jhon's matrix, generating automated assessments and measuring real on-the-job performance.
- Aptitude Report: The system calculates employee capability by balancing the actitudinal profile against technical execution using the following mathematical formulation:

Where $\alpha$ and $\beta$ represent weighting coefficients configured to balance role psychology with precise operational execution.
🚧 Operational Challenges, Microservices, and the Sales Engine
Developing and scaling this solution has meant overcoming considerable technical and market hurdles:
- Infrastructure and Anti-Spam Restrictions: Policies from Google, Meta, and email service providers have become extremely strict. We currently have a qualified database of 132,000 leads ready to be contacted. To protect the reputation of our domain (
voklo.net) and prevent spam filter blocks, we maintain a gradual warmup sending a maximum of 100 emails daily in an automated manner. - Microservices on Google Cloud: We developed microservices in GCP to manage these operational constraints (email, WhatsApp, data flow) in a controlled and automated fashion.
- Team Capacity: Between two people (Sebastián handling technical architecture and web infrastructure, and Alberto directing operations and commercial strategy), we manage the entire project. We work 60 to 70-hour weeks at peak capacity, proving that with optimized resources it is possible to build high-impact technology.
🎓 Adoption Strategy, Social Impact, and Scale
We understand that technology can intimidate micro-entrepreneurs. Therefore, Ciclo Voklo incorporates an SOP (Standard Operating Procedures) training path that teaches entrepreneurs how to document, manage, and maintain their operations autonomously.

- Legal and Preventive Shielding: Serves as technical evidentiary support proving due diligence by the employer in employee training in the event of potential labor claims regarding negligence.
- Professionalization of Informal Employment: Dignifies operational roles in micro-enterprises by giving workers total clarity on their functions and reducing employee turnover.
Impact of the Build with Gemini XPRIZE: Winning this award will allow us to inject capital into our sales engine, hire key talent to reinforce the team, free up operational capacity, and accelerate the arrival of Ciclo Voklo to thousands of micro-enterprises across the region.
