Chief

Chief is an AI Chief of Staff that transforms fragmented workplace information into intelligent recommendations. Instead of switching between emails, calendars, chats, documents, cloud storage, and project boards, Chief brings everything together into one intelligent workspace that understands what matters most and recommends the best next actions.

Inspiration

Modern work is spread across many applications including email, calendars, messaging platforms, code repositories, documents, project management tools, and cloud storage. Every day, people switch constantly between these apps just to determine what requires their attention. As information grows, important updates become buried beneath notifications, meetings overlap with deadlines, and priorities become increasingly difficult to manage.

We built Chief to solve this problem. Rather than acting as another chatbot, Chief serves as an AI Chief of Staff that understands everything happening across a user's workspace, identifies what matters most, and recommends the best next actions. Instead of searching through multiple applications, users receive intelligent briefings, prioritized tasks, scheduling recommendations, and actionable insights from one place.


What it does

Chief connects to the applications people already use for work and continuously builds a unified understanding of their workspace. It synchronizes information from emails, calendars, messaging platforms, project management tools, cloud storage, and development platforms into a single intelligent workspace.

Unlike traditional assistants that simply summarize information, Chief reasons over the user's workload. It can:

  • Prioritize work based on urgency and importance.
  • Detect scheduling conflicts across calendars and tasks.
  • Identify dependencies between work items.
  • Recommend when work should be postponed or completed earlier.
  • Generate personalized daily briefings.
  • Explain why one task should take priority over another.
  • Recommend the next best action based on the user's current workspace.

Every recommendation is generated using the user's complete workspace context rather than isolated conversations.


How we built it

Chief was designed around a layered reasoning architecture rather than a traditional chatbot workflow.

The workflow follows these stages:

  1. Connected Apps synchronize information from workplace tools into Chief.
  2. The Sync Engine continuously updates the latest workspace data.
  3. The Knowledge Engine organizes and enriches information into structured knowledge.
  4. The Workspace Engine creates a unified understanding of the user's entire digital workspace.
  5. The Planner & Reasoning Engine analyzes deadlines, priorities, dependencies, scheduling conflicts, workload, and available time to determine the best course of action.
  6. Only after this reasoning process is complete does GPT-5.6 generate personalized recommendations, explanations, summaries, and natural language responses that are streamed back to the user in real time.

This separation allows Chief to reason about work before generating responses, making recommendations far more contextual, explainable, and actionable than a traditional AI chatbot.

Throughout development, Codex accelerated implementation by assisting with architecture decisions, feature development, debugging, rapid iteration, and refining the overall user experience.

Challenges we ran into

One of our biggest challenges was moving beyond simple AI chat. We wanted Chief to behave like a real Chief of Staff rather than a chatbot that merely summarizes information. This required designing a reasoning pipeline capable of understanding priorities, task dependencies, scheduling conflicts, deadlines, workload, and workspace context before generating responses.

Another challenge was combining information from multiple connected applications into a consistent workspace without overwhelming either the AI or the user. We addressed this by introducing separate synchronization, knowledge, workspace, and planning layers that organize and prioritize information before it reaches the reasoning model. This enables Chief to provide recommendations that are both relevant and explainable.

We're especially proud of creating a reasoning-first architecture where AI decisions are grounded in structured workspace context, making Chief feel like a proactive assistant rather than another chat interface.

What we learned

Building Chief reinforced that the real challenge isn't connecting applications—it's helping people make better decisions with the information they already have.

We learned that effective AI assistants require structured context before reasoning can happen. Separating synchronization, knowledge management, workspace understanding, planning, and language generation into distinct layers significantly improved both the quality of recommendations and the overall user experience.

We also gained valuable experience designing AI systems that reason about work, priorities, schedules, and dependencies rather than simply generating conversational responses.

What's next for Chief

Our vision is for Chief to become a true AI Chief of Staff capable of managing an entire workday.

Future versions will include:

  • Personalized work habits and adaptive planning.

Ultimately, we envision Chief becoming a trusted AI partner that not only understands a user's work but actively helps them make better decisions every day.
