Inspiration

Many small businesses still manage their operations using notebooks, spreadsheets, WhatsApp chats, and memory. This usually leads to lost customer records, unpaid debts being forgotten, poor inventory tracking, and no real visibility into how the business is performing.

I wanted to build something that feels less like complicated software and more like an intelligent business assistant.

The idea behind BizPilot AI was simple:

What if a business owner could manage their entire business just by chatting with AI?

That became the foundation of BizPilot AI.

What it does

BizPilot AI is an AI-powered business operations assistant for small businesses.

The platform allows business owners and staff to manage:

  • sales
  • inventory
  • invoices
  • debtors
  • expenses
  • customers
  • staff onboarding
  • analytics

through natural conversations with AI.

For example:

“Sarah bought 5 iPhones and hasn’t paid yet.”

The AI automatically:

  • records the sale
  • updates inventory
  • creates an invoice
  • tracks the customer as a debtor
  • schedules payment reminders
  • updates business analytics

The system also supports:

  • low stock alerts
  • automated email notifications
  • payment tracking
  • business expense management
  • AI-generated reports
  • conversational workflows

How we built it

The entire project was built using MeDo AI.

Instead of manually coding the application from scratch, I used MeDo’s conversational AI workflow to progressively build and improve the platform through prompts and iterations.

Using MeDo, I was able to:

  • generate the application structure
  • build dashboards
  • create conversational AI workflows
  • implement authentication systems
  • create invoice systems
  • build inventory management
  • manage database structures
  • design onboarding workflows
  • improve AI interaction handling

For email functionality and SMTP services, I integrated Zoho Mail.

The most interesting part of the project was using AI to build an AI-powered business system.

Challenges we ran into

One of the biggest challenges was making the AI assistant feel intelligent and reliable instead of behaving like a simple chatbot.

Initially, the AI:

  • failed to maintain conversational context
  • stopped workflows after encountering errors
  • did not ask enough follow-up questions

A lot of work went into improving:

  • conversational flows
  • AI memory handling
  • workflow persistence
  • validation systems
  • error recovery handling

Another challenge was synchronizing multiple business operations together, especially:

  • invoices
  • debt tracking
  • inventory updates
  • payment verification
  • analytics

so that every action updates the entire system correctly.

Accomplishments that we're proud of

One thing I’m really proud of is transforming the AI assistant into something that actually feels operational.

Instead of filling long forms, users can simply talk naturally to the system and complete complex business tasks step-by-step.

What we learned

This project taught me a lot about:

One major lesson was that AI products become significantly more useful when they guide users through tasks instead of simply responding to commands.

I also learned how powerful conversational development can be when building full-stack applications with AI tools like MeDo.
