Inspiration
Small businesses receive customer enquiries every day, but many don't have dedicated teams to respond to every message, qualify leads, schedule appointments, and follow up with potential customers. We were inspired by a simple question: What if AI could handle the repetitive operational work of a small business while humans focused on customers, relationships, and growth? That idea became BizPilot AI — an AI-powered operations agent designed to turn customer conversations into meaningful business actions.
What it does
BizPilot AI helps small businesses manage customer operations through AI. It can understand customer conversations, answer business-specific questions, qualify and score leads, recommend the next action, schedule appointments, trigger follow-ups, and support conversion workflows. Unlike a traditional chatbot, BizPilot connects AI decisions to business actions. Its agents can work across the customer journey, while an owner dashboard provides visibility into conversations, leads, appointments, conversions, and AI activity.
How we built it
We built the frontend with React and Tailwind CSS and used FastAPI for the backend. Gemini is the core intelligence layer. It handles intent detection, business-specific responses, lead qualification, lead scoring, summarization, and agent decision-making. Google Cloud Run is used to deploy the backend, while Firestore stores operational data such as customers, leads, conversations, and agent execution logs. We designed the system around specialized responsibilities including a Reception Agent, Sales Agent, Conversion Agent, Follow-up Agent, and Business Analyst Agent. The goal was to connect the AI model to real tools and workflows instead of using it only to generate text.
Challenges we ran into
Our biggest challenge was building a meaningful AI-native product within a very limited development window. It was easy to keep adding features, but we realized that a smaller number of connected workflows would demonstrate more value than many disconnected features. Another challenge was making AI decisions reliable enough to connect with business actions. We addressed this by using structured outputs, controlled tool execution, business-specific context, and human escalation for situations that require judgment. We also had to think about the product as a business rather than only as a technical project — including customer acquisition, pricing, measurable outcomes, and long-term sustainability.
Accomplishments that we're proud of
We're proud that BizPilot AI goes beyond a simple conversational interface and demonstrates how AI can participate in actual business operations. We built an end-to-end workflow where a customer conversation can lead to AI-powered qualification, a recommended business action, and an operational outcome. We're also proud of creating an agent activity layer that makes AI decisions and tool executions visible and measurable. Most importantly, we built BizPilot with the goal of solving a real operational problem for small businesses rather than building AI simply for the sake of adding AI.
What we learned
We learned that an AI product becomes much more useful when the model is connected to business data, tools, workflows, and measurable outcomes. A chatbot can answer a question, but an AI agent can decide what should happen next and help execute it. We also learned that building an AI-native business requires thinking about much more than the model: customer trust, reliability, human escalation, economics, customer acquisition, and measurable impact are equally important.
Our biggest takeaway is simple:
AI shouldn't just answer questions. It should help move the business forward.
What's next for BizPilot AI
Our next step is to validate BizPilot with real small businesses and measure whether faster responses, automated qualification, and follow-ups improve conversion outcomes and reduce repetitive operational work. We plan to add more business integrations, stronger analytics, human escalation workflows, industry-specific agents, and more sophisticated automation. Our long-term vision is to make BizPilot an AI operations teammate for small businesses — helping them serve more customers, operate more efficiently, and grow without requiring the same increase in operational overhead.
