The inspiration for this project came directly from real-world frustrations I’ve experienced managing commercial construction jobs. As a general contractor, I’ve seen how inefficient and unclear the payment process can be—particularly when dealing with pay applications, approvals, and tracking. The delays, disputes, and lack of visibility create unnecessary tension between contractors, subs, and owners. That pain point was the catalyst for building BilldFlow—a tool designed to bring clarity, automation, and accountability to the payment chain.

Building the platform began with mapping out the ideal workflow from the field to the front office. We studied the typical lifecycle of a pay app—from submittal to approval to payment—and identified where communication often breaks down. From there, we developed core features: AI-based billing review against the project schedule, real-time status tracking, and a clean, intuitive interface that all parties could understand. We also prioritized data transparency, knowing that trust in construction is built on knowing where things stand.

Throughout development, we faced our fair share of challenges. Balancing automation with user control was key—too much of either would compromise accuracy or flexibility. Ensuring the tool was simple enough for field users, yet robust enough for back-office teams, required thoughtful design iterations and constant feedback from industry peers. What we’ve learned along the way is that solving for construction’s payment pain points doesn’t just require tech—it requires a deep understanding of how people in the field actually work.
