Inspiration

Preparing bids and responding to Requests for Proposals (RFPs) can be a complex, time-consuming process. Businesses often need to analyze lengthy tender documents, identify eligibility criteria, verify compliance requirements, and prepare accurate responses under strict deadlines. Missing even a single requirement can result in disqualification. We were inspired to build BidWise , an AI-powered platform that simplifies the bidding process and helps businesses make smarter, more informed bidding decisions.

What We Built

BidWise aims to transform traditional bid management into a more intelligent and streamlined workflow. The platform leverages AI to help users understand complex tender documents, extract key requirements, identify mandatory eligibility conditions, and evaluate compliance gaps. By organizing critical information into actionable insights, it reduces manual effort and helps businesses prepare more structured, accurate, and competitive bids.

How We Built It

We approached the project by focusing on the core challenges of bid preparation: document complexity, requirement extraction, and compliance verification. Our solution combines AI-driven document analysis with structured information processing to turn lengthy tender documents into meaningful, actionable outputs. The goal was to create a user-friendly experience where users can move from understanding a tender to assessing their readiness to bid, all within a unified platform.

Challenges We Faced

One of our key challenges was addressing the complexity and variability of tender documents. Requirements can be scattered across multiple sections, expressed in different formats, and written in dense technical or legal language. Ensuring that extracted information remains relevant, accurate, and traceable to the original document is essential. We also had to consider how to present AI-generated insights clearly while avoiding unsupported conclusions, especially when compliance and eligibility decisions have significant consequences.

What We Learned

Building BidWise helped us understand how AI can be applied to real-world business workflows beyond simple chatbots. We explored the importance of structured document processing, reliable information extraction, compliance-oriented reasoning, and user-centered design. We also learned that an effective AI solution must prioritize accuracy, transparency, and usability—not just automation.
