A local bakery is struggling with operational inefficiencies due to inconsistent staffing and disjointed supply management. The bakery experiences critical shortages of full-time workers during peak periods and faces challenges in coordinating supply requests, leading to production delays and increased operational costs
I've developed a lightweight, web-based coordination system that bridges the gap between flexible workforce management and streamlined supply chain operations without requiring full automation or complex infrastructure
Instead of replacing human workers, we built a system that amplifies human coordination capabilities through smart, simple technology.
Challenges & Solutions Technical Challenges:
- Database Integrity: Solved with SQLAlchemy relationships and cascading operations
- Time Zone Management: Implemented UTC conversion with localized display
- Form Validation: Created client-side validation with server-side fallback
- Mobile Responsiveness: Used CSS Grid and Flexbox with progressive enhancement User Experience Challenges:
- Varying Tech Literacy: Simplified interfaces with clear visual cues
- Urgent vs Planned Actions: Color-coded priority systems
- Data Overload: Progressive disclosure and filtering options
- Error Recovery: Clear error messages with recovery suggestions Innovation Points
- QR-First Registration: Eliminates typing on mobile devices
- Shift "Bookability" Algorithm: Automatically enforces 24-hour rule
- Supply Request Templating: Remembers common items and quantities
- Role-Adaptive Interfaces: Same codebase, completely different experiences per user type
- Zero-Integration Philosophy: Works standalone without API dependencies
Accomplishments That We’re Proud Of • Clearly identified and focused on the most critical operational problems faced by the bakery—worker shortages and inefficient supply coordination—rather than attempting an overly complex system. • Successfully translated real-world challenges into system features such as flexible shift booking and digital supply requests. • Defined clear user roles and workflows, ensuring the system is easy to understand and use by both bakery staff and temporary workers.
What We Learned • The importance of scope management: limiting features is essential to delivering a complete and coherent system under time constraints. • How to analyze a real problem and propose a technology-based solution without relying on advanced hardware or complex integrations. • How user needs can be translated into clear system requirements and workflows, even when real data collection is limited.
Future Roadmap Phase 2 (Planned): • Email/SMS notifications for shift reminders • Worker rating and performance tracking • Advanced analytics and reporting dashboard • Bulk shift creation for recurring patterns Phase 3 (Vision): • Mobile app with push notifications • Integration with payroll systems • Predictive staffing based on sales data • Supplier portal for direct ordering
