🚀 Inspiration
We’re building AI-powered coordination agents to keep surgical reps, hospitals, and operating rooms perfectly in the loop—cutting costs, saving time, and ensuring every implant and tray is ready, every time.
🤖 What it does
AutoRep is an AI-driven coordination assistant that streamlines the complex, manual workflow of surgical representatives in orthopedic procedures. It:
- Centralizes scheduling data from surgeon offices and hospitals
- Automatically generates tray and implant requirements based on pre-operative plans
- Notifies all stakeholders (sterile processing, OR staff, company logistics, reps) with personalized action checklists
- Tracks tray and implant readiness, flagging delays or missing inventory
- Uses a secure interface for reps to review plans and confirm logistics
- Reduces miscommunication, excess inventory costs, and manual coordination overhead.
🛠 How we built it
- Frontend: React-based dashboard for reps and hospital staff to track readiness status
- Backend: Node.js API with Flask microservices for AI decision-making
- AI Agent: LLM-powered coordination assistant (via Bedrock/OpenAI API) to generate task flows from pre-op plans
- Database: PostgreSQL for structured data (schedules, inventory, tray status)
- Notifications: Slack + Email integration for real-time alerts to reps and hospital teams
- Security: Scoped access based on HIPAA-safe role permissions
⚠️ Challenges we ran into
- Mapping the real-world complexity of surgical coordination into a structured system
- Balancing HIPAA-compliant data handling while enabling shared access
- Integrating AI recommendations in a way that reps and hospitals can trust and act on
- Managing asynchronous communication flows across multiple stakeholders
- Simulating realistic OR scheduling and pre-op planning workflows for testing
🏅 Accomplishments that we're proud of
- Created an end-to-end coordination loop where reps, hospitals, and MedCompany can stay synced in real time
- Designed a smart assistant that reduces rep calls, emails, and repeat visits to hospitals
- Built a dashboard that clearly shows tray and implant readiness status per patient
- Identified key cost-saving areas for hospitals and MedCompany in tray prep and consignment waste
📚 What we learned
- The surgical rep workflow is incredibly complex but ripe for intelligent automation
- Even small improvements in coordination can result in significant financial savings and time reduction
- AI is most impactful when it augments human workflows rather than replaces them
- Stakeholder-specific task visibility (custom views for reps vs hospital vs logistics) is crucial

- Integrate with EHR systems for real-time surgery scheduling updates
- Add predictive inventory management using surgery history and AI
- Build hospital-facing tools to forecast tray sterilization needs and optimize tray reuse
- Launch mobile version for reps on the go
- Partner with MedDevice companies to pilot in real surgical environments
