Inspiration

In today’s fast-paced business world, teams juggle multiple projects, client requirements, and tight deadlines often leading to missed targets, poor communication, and burnout. Managers, on the other hand, struggle to track progress and identify bottlenecks early. We were inspired to build Aura AI, an intelligent co-pilot that automates the chaos of task management and helps teams focus on what truly matters productivity, performance, and client satisfaction.

What it does

Aura AI is an AI-powered task management platform that transforms the way teams plan, collaborate, and deliver client projects. At its core is a conversational AI assistant powered by Google’s Gemini model, designed to understand natural language, prioritize tasks intelligently, and predict potential project delays.

👩‍💼 For Managers & Admins Create teams and assign tasks across multiple client projects. Gain insights into who’s performing well, who’s ahead of deadlines, and where delays might occur. Visual dashboards display performance scores, task completion trends, and AI-generated recommendations for workload balancing. 👨‍💻 For Team Members Simply type or say, “Add a task for the client pitch due Friday”, and Aura AI creates it instantly with the right deadline and priority. Ask, “What’s the most urgent client project?”, and the AI summarizes what needs attention first. Receive smart notifications and reminders based on behavior and project timelines. Together, Aura AI creates a transparent and efficient work environment that directly translates to happier clients and smoother delivery.

How we built it

We built Aura AI on a modern, scalable stack designed for real-time collaboration and AI integration: Frontend: Next.js + React (App Router + Server Components) for performance and flexibility AI Framework: Genkit (Google’s open-source AI framework) for AI orchestration and logic AI Model: Google Gemini – for advanced reasoning, natural conversation, and function-calling Backend & Database: Firebase (Firestore for real-time data, Authentication for secure user roles) Styling: Tailwind CSS + ShadCN UI for a clean, accessible, and modern interface

Challenges we ran into

Designing a conversational AI that could understand contextual business instructions like “assign a follow-up task to John for the client feedback meeting” was a real challenge. It required: Careful prompt engineering to convert natural language into structured task data Function-calling design for smart actions Real-time synchronization between teams and dashboards using Firebase listeners Balancing usability, accuracy, and responsiveness in real-time collaboration was a major technical milestone.

What we learned

We explored the intersection of AI + real-time collaboration, gaining experience in: Prompt engineering and function calling with LLMs Structuring scalable AI-powered systems with Genkit Building synchronized multi-user workflows using Firebase + Next.js Designing clear, actionable AI dashboards for managers This project gave us deep insight into how AI can act as a true productivity partner rather than just an assistant.
