Appointment Backfill Operator was inspired by the problem of cancelled appointments leaving valuable clinic slots unused while staff manually contact patients on a waitlist. The project uses CALL-E to automate this process safely by calling eligible patients in priority order and stopping when one accepts the available slot.

I learned how to integrate the CALL-E API, handle structured call results, implement sequential call orchestration, store call outcomes with Prisma, and protect sensitive information by masking phone numbers in the dashboard. I built the project with TypeScript, Express, Prisma, and SQLite, with a browser-based dashboard for cancellations, waitlist management, backfill triggering, and call monitoring.

The main challenges were preventing duplicate or overlapping calls and timeout due to delayed call api response, keeping booked and waitlist patients separate, handling unanswered or failed calls, and designing a safe demo mode that does not place real calls by default. I addressed these with sequential processing, structured result handling, fictional placeholder numbers, masked UI output, persistent call logs.
