About the Project
💡 Inspiration
The idea for our Smart Visitor Management System was inspired by the challenges faced by organizations when managing visitors through traditional paper-based registers and manual verification. These methods can be time-consuming, difficult to track, and may not provide a clear record of visitor activity.
We wanted to build a system that makes the visitor registration and verification process faster, more secure, and easier to manage. This led us to develop a digital platform that connects visitors, receptionists, employees, and administrators in a single system.
🛠️ How We Built It
We built the system using a React.js frontend, ASP.NET Core Web API backend, and MySQL database.
The system provides different functionalities for different users:
- Visitors can register or pre-register their visits.
- Pre-registered visitors can receive a QR code that can be scanned during check-in.
- Receptionists can verify visitor details, scan QR/barcodes, and manage check-ins.
- Employees can be associated with meetings and receive visitor-related notifications.
- Administrators can manage employees, meetings, visitors, and system records.
- The system can also support document scanning/OCR to reduce manual data entry.
- Email and OTP-based verification can be used to improve the security of the registration process.
The frontend communicates with the backend through REST APIs, while the backend handles authentication, business logic, visitor records, and database operations.
📚 What We Learned
While developing this project, we learned how to build a complete full-stack application rather than working on frontend or backend components independently.
We gained practical experience in:
- React.js component development and state management
- ASP.NET Core Web API development
- REST API integration
- MySQL database design and CRUD operations
- Authentication and role-based access
- QR-code generation and scanning
- Email-based communication
- OCR and AI integration concepts
- Connecting multiple modules into a single workflow
- Designing systems for different types of users
Most importantly, we learned how to convert a real-world problem into a structured software solution.
🚧 Challenges We Faced
One of the major challenges was designing a workflow that could handle different types of visitors, including pre-registered visitors and walk-in visitors.
We also faced challenges while connecting the React frontend with the ASP.NET Core backend and ensuring that the data was correctly stored and retrieved from MySQL.
Implementing QR-based verification required us to carefully manage visitor registration and check-in states. We also explored OCR and AI-based approaches for extracting information from documents, which introduced additional challenges related to accuracy, API limitations, and integration.
Another challenge was designing the system so that each user—visitor, receptionist, employee, and administrator—could access only the functionality relevant to their role.
🚀 What We Achieved
Our final system provides a centralized digital approach to visitor management, reducing dependence on manual registers and making visitor information easier to track.
The project demonstrates how web technologies, APIs, databases, QR-based identification, email communication, OCR, and AI can be combined to create a practical solution for modern organizations.
Through this project, we moved beyond simply writing code and learned how to design, integrate, test, and improve a complete real-world software system.
