Inspiration
Faculty members receive numerous academic emails every day, including examination circulars, meeting announcements, department updates, university notifications, and important deadlines. Reading every email carefully and identifying the most urgent tasks can be time-consuming. We wanted to build a practical AI-powered solution that helps faculty focus on what matters most instead of manually sorting through their inbox.
What It Does
AI Email Summarizer Agent for Faculty transforms a crowded academic inbox into an organized and actionable workspace.
- AI Email Summarization: Converts lengthy academic emails into concise summaries.
- Context-Aware Prioritization: Highlights important messages based on urgency, deadlines, and institutional importance.
- Deadline Detection: Identifies important dates and upcoming academic deadlines.
- Action Item Extraction: Helps faculty understand what they need to do next. -Smart Academic Inbox: Organizes emails with categories, priority indicators, and unread status.
- Faculty Personalization: Supports configurable academic profiles, priority preferences, focus categories, and keywords.
- Smart Reply Assistance: Generates draft replies that faculty can review and edit.
How We Built It
We built the frontend using React, TypeScript, Vite, Tailwind CSS, and Lucide icons. The backend uses Python and FastAPI, with SQLite for data storage.
The application includes a dashboard, a smart inbox, detailed email summaries, a priority center, action items, and personalization settings. For demonstration purposes, the project supports a mock environment with preloaded academic emails, allowing its core features to be explored without requiring a live Gmail account.
The architecture is designed to support Gmail integration and AI-powered processing as the project evolves. Any live integrations depend on the corresponding API configuration and authentication.
Challenges We Faced
One of our main challenges was deciding which emails deserved immediate attention. A message's importance cannot always be determined by its subject alone; deadlines, institutional authority, and required actions also matter.
We addressed this by designing a context-aware priority system and presenting summaries, deadlines, and action items in a single interface. Another challenge was making the application useful for demonstrations while keeping the frontend and backend organized and maintaining a consistent user experience.
What We Learned
Through this project, we gained practical experience in full-stack development, REST API integration, database management, UI design, and building AI-oriented workflows. We also learned that a useful AI assistant needs more than summarization: it should help users understand the importance of information and decide what to do next.
Future Scope
We aim to expand live Gmail integration, improve language-model-based information extraction, introduce calendar integration, and develop more personalized academic email workflows.
Our goal is to help faculty spend less time managing emails and more time focusing on teaching, research, and academic responsibilities.
