Inspiration

We were inspired by the communication challenges event organizers face when managing multiple sponsors. With a large volume of sponsorship-related inquiries—often repetitive and time-sensitive—organizers struggle to maintain quick and consistent responses. We saw an opportunity to leverage Salesforce Agentforce and Data Cloud to automate and scale sponsor support while maintaining accuracy and professionalism.

What it does

The AI Agent for Sponsors is a smart assistant built on Salesforce Agentforce that provides sponsors with real-time answers to their sponsorship-related questions. Drawing from a curated data library, a dynamic FAQs document, and Salesforce Data Cloud, the agent responds to inquiries about sponsorship packages, deliverables, branding guidelines, timelines, and more. It ensures sponsors feel informed and valued, reducing the workload on event teams.

How we built it

We used Salesforce Agentforce as the foundation for the conversational AI experience, integrating it with Salesforce Data Cloud to centralize and manage sponsor-related data. A structured data library and a living FAQs document were used to train the agent and guide its responses. This setup allowed us to deliver accurate, contextual answers in a scalable and flexible way. We also leveraged Salesforce’s automation tools to keep the content up to date as event details evolved.

Challenges we ran into

Integrating multiple Salesforce components—Agentforce, Data Cloud, and the data library—required careful orchestration to ensure smooth data flow and up-to-date information. Another challenge was optimizing the FAQs document structure to make the information easily digestible for both the AI and the sponsors. Ensuring the agent maintained a human-friendly tone while staying accurate also required several iterations.

Accomplishments that we're proud of

We’re proud of building a fully functional, Salesforce-powered AI agent capable of supporting sponsors efficiently. By linking the agent to real-time data via Data Cloud and structuring our content through the data library and FAQs document, we created a responsive and scalable system that reduced manual intervention and significantly improved sponsor satisfaction.

What we learned

We learned how to effectively leverage Salesforce tools to create intelligent support experiences. We gained hands-on experience with Agentforce customization, dynamic content handling through Data Cloud, and the importance of maintaining well-structured, up-to-date documentation in the form of the data library and FAQs. Additionally, we deepened our understanding of conversational design in high-stakes business contexts.

What's next for AI Agent for Sponsors

Next, we plan to expand the agent’s capabilities by integrating multilingual support and analytics dashboards for sponsor interaction insights. We aim to allow event organizers to update FAQ content directly through the Salesforce interface and explore deeper automation using Salesforce Flows and Einstein AI to proactively surface key sponsorship milestones or reminders.
