Project Story: Adaptify - AI-Powered Change Management Assistant

Inspiration

The inspiration for Adaptify came from the realization that technology adoption can often be a challenge for employees, leading to resistance, confusion, and a lack of effective engagement. Change management processes are critical for successful transitions, but many organizations struggle to understand employee sentiment and adoption patterns in real-time. We wanted to create a solution that combines AI with proven change management principles to streamline the adoption process, ensure smoother transitions, and build greater employee trust and engagement.

What it does

Adaptify is an AI-powered change management assistant designed to support organizations in managing technology adoption. It analyzes feedback and adoption data to generate actionable insights, recommend peer learning interactions, and monitor employee sentiment to reduce resistance to change. Additionally, it assists in creating clear, targeted communications and continuously improves the change management process through a feedback loop mechanism. The AI learns from past campaigns to refine future change management efforts, ensuring a more effective and adaptive approach.

How we built it

We built Adaptify using AI and machine learning techniques to process employee feedback and adoption data. The system uses:

  • Machine Learning to identify patterns in employee adoption and suggest actionable insights.
  • Data Analytics to analyse trends and identify anomalies from data gathered during and after user testing.
  • User Interface to allow change managers to easily view insights, suggestions, and sentiment analysis.

The project was designed to be flexible, allowing for easy integration with existing change management tools and platforms.

Challenges we ran into

  • Lack of Data: We did not have access to large databases which we could test our system on.
  • Code not Compiling: Some of our code did not manage to run and we could not find the bugs after several hours. Had to use programs like Cursor to help us identify the bugs in the code.

Accomplishments that we're proud of

  • Real-Time Sentiment Monitoring: We successfully built a system that can track and analyze employee sentiment in real-time, helping organizations address concerns and resistance promptly.
  • Actionable Insights for Managers: The AI generates concrete recommendations for change managers to implement, such as suggested communications or peer learning interactions, which can significantly improve the change adoption process.
  • Seamless Integration: We created a solution that can be easily integrated with existing change management tools, making it accessible for organizations without requiring a complete overhaul of their systems.

What we learned

  • Importance of Human-AI Collaboration: We learned how critical it is to have AI that complements human decision-making rather than replacing it. The value of empathy and understanding in change management cannot be understated, and our AI needed to respect that.
  • Data Processing Challenges: We gained deeper insight into how complex and nuanced feedback data can be, particularly when it comes to interpreting sentiment and understanding patterns. It taught us how much care is needed to train AI systems in human-related domains.

What's next for Adaptify

In the future, we plan to:

  • Expand Integration: Integrate Adaptify with more enterprise tools and platforms to widen its accessibility and ease of use.
  • Enhance Predictive Capabilities: We aim to improve the AI’s ability to predict adoption trends and resistance points even before they happen, giving managers more time to address potential issues.
  • Personalized Employee Insights: We will work on personalizing insights for individual employees, helping organizations tailor support for different proficiency levels and emotional states.
  • Explore New Change Management Models: We’ll explore integrating additional change management models and frameworks to provide a more comprehensive solution for organizations of all sizes.

We believe Adaptify has the potential to reshape how organizations manage change, making transitions smoother, more effective, and ultimately more successful.
