đź’ˇ Inspiration

AbilityPath helps individuals and families access developmental support services, but their onboarding process was slow and overwhelming — lots of forms, emails, and manual calls. We wanted to make the first step into care as simple and welcoming as having a conversation.

⚙️ What it does

The AbilityPath Voice Onboarding Assistant uses Jotform’s Voice and Text Agents to guide new users through an easy, conversational intake experience.

  • Users can speak or type their answers — whichever is more comfortable or accessible.
  • The system matches responses against eligibility rules stored in Google Sheets.
  • It then recommends the most relevant programs and sends a personalized welcome email with a Case ID for follow-up.

The result is a faster, friendlier onboarding process that feels human from the start.

🛠️ How we built it

  • Designed the intake flow using Jotform’s AI Voice and Text Agents.
  • Configured conditional logic and integrations to evaluate answers against a Google Sheets-based decision tree.
  • Automated Case ID generation and personalized email follow-ups directly within Jotform.
  • Embedded the workflow into the AbilityPath website, making it instantly accessible without any custom backend code.

🚧 Challenges we ran into

  • Making the eligibility rules flexible enough to cover diverse program criteria without overcomplicating the logic.
  • Ensuring a smooth and natural voice experience — managing pauses, accents, and transcription accuracy.
  • Crafting language that feels warm and inclusive while keeping data structured for automation.

🏆 Accomplishments that we're proud of

  • Built an accessible, voice-friendly onboarding experience in just a few days — with no custom infrastructure.
  • Reduced what used to take days of back-and-forth emails to a single, friendly conversation.
  • Leveraged Jotform’s built-in multilingual capabilities to instantly support English, Spanish, and Mandarin users.
  • Designed a prototype that AbilityPath could deploy immediately to improve both user experience and staff efficiency.

🧠 What we learned

  • Accessibility-first design benefits everyone, not just those with special needs.
  • Low-code tools like Jotform’s AI Agents can bridge the gap between conversational design and operational data.
  • The key to user adoption is empathy — tone matters as much as technology.

đź”® What's next for AbilityPath Voice Onboarding Assistant

  • Build a staff dashboard to review submissions and track engagement metrics.
  • Add AI summarization and sentiment insights to better understand user needs from voice responses.
  • Create an open-source onboarding template for other nonprofits to adapt.
  • Integrate with CRM or case management systems to support ongoing service coordination.
